Let us show you all the ways we can Empower Your Purpose.To learn more about Rehmann, visit: https://www.rehmann.com/careers/**Job Description:**Essential Duties/Responsibilities:• Responsible for establishing great first impressions.o Answer the phone and greets visitors to the office; offers beverages and make themcomfortable.o Assist callers/visitors in reaching their intended Rehmann associate; direct to otherassociates or take messages/sends to voicemail as appropriate.o Receive/send mail, express packages, and coordinate deliveries.o Coordinate temporary workspaces for inter-office associates, IRS agents, clients, and othervisitorso Maintain the reception area to ensure it is neat, clean and well stocked, including updatedmarketing materials, publications, and refreshments.• Meeting/special event setup and coordination.o Review resource calendars for upcoming events and coordinate with meeting organizers.o Prepare meeting space, including technology, seating, and food/beverage needs.o Maintain the conference rooms to properly ensure they are neat, clean and well stocked.• Assist with travel arrangements, including but not limited to car rentals and lodging.• Assist with administrative work, including but not limited to:o Type correspondence, run and distribute reports and other documents.o Copy and prepare reports and other documents for distribution to clients and associates.o Scan and file documents.o Assist with new associate onboarding responsibilities as directed.o May order various office supplies.o Coordinate or assist with functions that are critical to the Firm.• May support a specific work product or department/practice. Required Skills/Abilities:• 2 years of experience preferred• H.S. Diploma required /Associate’s Degree Preferred• Working knowledge of Microsoft Office, including Microsoft Word to sufficiently prepare simplecorrespondence and reports and Microsoft Excel to sufficiently prepare basic spreadsheets anddisplays of information.• Ability to operate multiple phone lines, conference and video equipment, and documentproduction equipment such as copiers, fax machines, scanners, etc.• Basic understanding of the services, the basic purpose, and the terminology of the practice areasprovided by Rehmann sufficient to direct communications to appropriate associates.• Ask concise, targeted questions in order to fulfill objectives and task completion.• Demonstrate ability to handle communication in a discreet, professional, and confidential manner.• Strong time management, multi-tasking, and attention to detail skills.• Display ability to learn and willingness to perform all tasks and to assist others.• Demonstrate ability to work in a fast-paced environment, able to multitask while providingexceptional customer service.• Articulate in speech and writing; communicates in a clear, fact-based manner.• Demonstrate exemplary level of ethical behavior in accordance with professional standards.• Demonstrate professional image, maturity, self-confidence, and a positive attitude.
