Description
BETA Group is looking for a dynamic Administrative Assistant/Receptionist for our growing engineering firm. We have an opportunity for an energetic and ambitious individual who possesses excellent organizational and communication skills as well as administrative computer skills. The ideal candidate is proactive, reliable, self-motivated, and a multi-tasker. The Administrative Assistant/Receptionist will excel at BETA if they can bring an efficient innovative approach to problem solving and contribute towards developing effective workflows and process improvement.
Responsibilities:
- Provide professional and friendly customer service while answering, screening, and directing calls on a multi-line phone system in a timely and efficient manner
- Welcome and greet visitors
- Manage all mailing needs, including daily visits to local P.O. Box for incoming and outgoing mail
- Facilitates daily check deposits
- Aid in the daily operations by managing logistical needs, including local deliveries and errands
- Organize and maintain all common areas (Entrance, Lobby, Coffee Stations, etc.)
- Ensure all kitchen areas and conference rooms are properly stocked and maintained for meeting needs and cleanliness
- Maintain an inventory of all office supplies and replenish when needed
- Coordinate the company’s conference rooms scheduling and use
- Assist with coordinating company events and luncheons including, but not limited to, ordering/retrieving food orders and setting up/breaking down for events
- Assist Accounting Department with administrative tasks or special projects
- Other duties as assigned
Preferred location is BETA’s Lincoln, RI office.
Candidates should have flexibility to work from our other office locations. This is an on-site role Monday-Friday.

Requirements
Required Experience/Skills:
- High School diploma or equivalent required
- Prior administrative experience working in a professional office environment
- Ability to learn new technology/software quickly
- Familiarity with FedEx, UPS, & USPS for shipping purposes
- Proficient in Microsoft Applications (Teams, Word, Excel, Outlook)
- Must be an organized self-starter, effective time planner, and results oriented
- Must show strong initiative, an eagerness to learn, and the ability to work independently while being an active team player
- Must possess a meticulous attention to detail with a focus on compliancy to processes and procedures
- Ability to effectively communicate and interact with visitors and all staff levels in a service-oriented environment
- Must be able to lift/move objects weighing up to 50 pounds
- Must be able to stand or sit for long periods of time
- Must have a valid driver’s license and reliable transportation

$48,000-$52,000 or commensurate
