Job summary

DuCharme, McMillen & Associates, Inc. in Indianapolis is seeking an Administrative Assistant to support the Property Tax team with documentation, meetings, travel, and reporting.

You will manage files, prepare reports, and coordinate with assessors and tax collectors. The role requires a high school diploma and 0–4 years of administrative experience, with strong communication and proficiency in Word, Excel, Outlook, and PowerPoint.

Responsibilities

  • Prepare, format, and edit letters, reports, spreadsheets, and other documents.
  • Collect and organize client data and maintain files.
  • Generate and update client and management reports.
  • Coordinate with assessors and tax collectors regarding notices and deadlines.
  • Schedule meetings and prepare materials.
  • Provide onboarding support and travel arrangements.

The role requires strong organizational skills and the ability to work independently while maintaining accuracy and professionalism.Essential Duties and ResponsibilitiesPrepare, format, and edit letters, reports, spreadsheets, and other required documents.Collect and organize client data; maintain accurate and organized client files.Generate and update client and management reports.Communicate with assessors and tax collectors regarding notices, valuations, tax bills, refunds, and appeal deadlines.Calculate and process reductions; perform follow-up billing.Schedule and organize meetings; prepare meeting materials.Maintain files, databases, and account history reports.Provide administrative support to team members, including coordinating meeting rooms, postage systems, office signage, and employee lounge upkeep.Assist with travel arrangements and prepare expense reports.Maintain and order office supplies; research vendors and manage contracts.Assist with new hire onboarding.Provide additional billing support as needed.Perform other duties as assigned.Education and QualificationsHigh school diploma or equivalent required.0–4 years of administrative experience in a professional environment.Strong verbal and written communication skills.Ability to work independently and manage multiple priorities.Intermediate to advanced proficiency in Word, Excel, Outlook, and PowerPoint.High level of interpersonal skills for handling sensitive and confidential information.Work Environment & Physical RequirementsWork Schedule: Regular, 40 hours/weekTravel: Less than 10%Physical Activity:Prolonged periods of sitting and computer useAbility to hear, understand, and distinguish speech and soundsFrequent repetitive motions with hands#LI-HH1#LI-OnsiteThe Company is an equal employment opportunity employer and is committed to providing equal employment opportunities to its applicants and employees.
