Job summary

The Research Foundation for Mental Hygiene, Inc. seeks a detail‑oriented Administrative Assistant to support the IPS Employment Center Initiative. You will manage calendars, coordinate meetings, handle correspondence, and ensure smooth operation of the California Center of Excellence project.

Ideal candidate has strong communication, time management, and proficiency with Microsoft Office. You will work both independently and as part of a team, under the Director and provide project

Qualifications

  • High school diploma or higher with several years of administrative experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to manage schedules, coordinate meetings and handle correspondence.

Responsibilities

  • Serve as point of contact for the California project.
  • Monitor CA project email account.
  • Schedule meetings and appointments; create Zoom or Teams meetings with Outlook invites.
  • Monitor submissions to the data system and follow up with IPS supervisors.
  • Travel authorizations and reimbursements for California Trainers, including arranging travel and processing vouchers.
  • Provide project support including tracking deadlines.
  • Take meeting minutes and share in a Teams folder.
  • Update contact information for counties, agencies and programs.
  • Enter trainer information into the monthly report.
  • Maintain records in shared files (training dates, fidelity reviews, action plans).
  • Participate in scheduled meetings, as assigned; perform other duties as needed.
