The University of Texas Permian Basin is seeking a part-time Administrative Assistant in the Compliance Department in Odessa, TX. This entry-level clerical role provides support for office operations under close supervision.

Responsibilities include records management, scheduling, basic reporting, receptionist duties, and assisting faculty and staff while protecting the confidentiality of student records. Prior MS Office familiarity is preferred.

  • Working knowledge of Microsoft Word, Excel, and Outlook.

Salary Range

The University of Texas Permian Basin's Compliance Department welcomes applications for the position of a part-time Administrative Assistant

Essential Functions

This position is an entry-level clerical role and requires general proficiency in office tools, processes, protocols and procedures. Positions at this level emphasize performing well-defined, semi-routine functions with relatively close supervision and limited department-level technical knowledge. This position will work 19.5 hours a week.

  • Perform day-to-day clerical and administrative functions in support of the assigned office.This may include record keeping, database management, appointment setting, preparation of reports, and receptionist duties.
  • Screen office calls, visitors, and mail, including serving as a backup to other college offices when needed. Assist faculty, other staff, and students with routine requests.
  • Provide basic clerical support to other staff within the office and to students needing assistance.
  • Accurately maintain student records, including the ability to protect the confidentiality of sensitive information.
  • Ensure that all required supplies and materials are available as needed and that equipment is in good working order.
  • Answer special requests and solve problems while routing to other staff and leadership when appropriate.
Required Qualifications

Schedule

Generally, the normal work hours for the university are Monday through Thursday, 7:30 – 5:30 pm; Friday, 8:00 am – 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.

Standard Working Conditions
  • Able to lift various materials up to 25 pounds on an occasional basis.
  • Able to bend, crouch, and reach continuously.
  • Physically able remain seated, frequently to continuously.
  • Able to remain standing up to 15% of the time.
  • Possesses dexterity abilities required to perform job duties including extensive keyboard work, operating office equipment, performing filing, and other job‑related responsibilities that include extensive wrist and hand movement.
  • Standard working conditions may differ depending on department and occupation
