PURPOSE:

The Zero Suicide Project is a multi-year, SAMHSA funded initiative focused on the implementation of the Zero Suicide framework across all programs within the Jewish Board. Zero Suicide is an evidence-based framework for improving suicide care in health systems, reducing client losses due to suicide. Through implementing Zero Suicide, the Jewish Board commits to transforming its own system of care toward client safety, reduction of suicide deaths , and creating a culture of support for care providers.

POSITION OVERVIEW:

The Administrative Assistant reports to the Project Director and p rovides secretarial and administrative support for the Zero Suicide Project. This includes but is not limited to: monitoring and maintaining all files and records, using office automation products, typing routine and complex correspondence, co-generate flyers and announcements, and is responsible for the timely distribution of such documents.

KEY ESSENTIAL FUNCTIONS:

  • Compose routine correspondence when instructed to do so by the supervisor.
  • Type and send complex correspondence accurately. In addition, type flyers, announcements, and other communication as required, under supervisor's direction.
  • Attend meetings (typically remote) as assigned and type/distribute/file minutes.
  • Provide basic clerical coverage including photocopying, printing, faxing, etc.
  • Schedule appointments and meetings.
  • Manage and update department database(s). Assist Project Evaluator in all administrative tasks associated with data collection.
  • Provide planning and logistic support for in-person trainings and events, under supervisor’s direction.
  • Other duties as assigned.

CORE COMPETENCIES for the position include:

  • Organized with strong attention to detail.
  • Ability to communicate effectively.

EDUCATIONAL/TRAINING REQUIRED:

  • Minimum of three years’ experience in a secretarial/administrative assistant capacity, or a Bachelor’s degree and two years of related experience.

EXPERIENCE REQUIRED/LANGUAGE PREFERENCE:

  • Minimum of three years’ experience in a secretarial/administrative assistant capacity
  • Human services experience preferred but not required.

COMPUTER SKILLS REQUIRED:

  • Knowledge of PC software (specifically office automation products) including word processing, spreadsheets, project planners, and database desktop publishing capabilities.
  • Ease of use with Microsoft Teams and Zoom.

VISUAL AND MANUAL DEXIERITY:

  • The candidate should be able to read paper and electronic documents and perform significant data entry into various computer programs
  • Manual dexterity and hand-eye coordination to travel independently using public transportation

WORK ENVIRONMENT/PHYSICAL EFFORT

  • This position is hybrid, with no in-office minimum requirement.
  • Travel within the five boroughs of New York City for certain project-wide meetings and to training sites will be required as necessary.
