Job Roles and Responsibilities:

• Document Scanning Contractor Resource Request:
  We are seeking a detail-oriented, efficient Document Scanning Contractor to lead our clinic's transition from paper-based files to digital records. You will handle the secure preparation, high-speed scanning, indexing, and data verification of physical dental charts into our electronic dental record (EDR) software. This is a temporary, project-based contract role requiring strict adherence to privacy laws.
• Document Preparation: Remove staples, paperclips, and tape. Repair torn pages and organize pages chronologically to ensure seamless feeding through high-speed scanners.
• High-Volume Scanning: Operate document scanning equipment to convert paper dental charts, medical histories, and patient consent forms into high-quality digital formats.
• Data Entry & Indexing: Categorize and upload digitized files into our electronic dental software. Accurately assign files to correct patient profiles using identifiers like Name, Date of Birth, and Patient ID.
• Quality Assurance: Inspect scanned images for clarity, completeness, and legibility. Re-scan blurry or missing pages before finalizing uploads.
• HIPAA Compliance: Maintain absolute confidentiality. Handle all Protected Health Information (PHI) in strict accordance with HIPAA regulations and internal clinic data-security policies.
• Post-Scanning Organization: Box, log, and securely store processed paper records according to the clinic's retention and shredding schedule.

Required Qualifications:

• Experience: Minimum 1 year of experience in document scanning, data entry, or medical/dental records management.
• Technical Skills: Proficient with high-speed production scanners and document management software.
• Dental Software Knowledge: Will provide onsite job training.
• Compliance: Up-to-date HIPAA certification or documented training in handling sensitive medical data.
• Attention to Detail: Accuracy, and ability to spot errors in high-volume environments.
• Physical Requirements: Ability to lift storage boxes weighing up to 35 lbs and sit/stand for long periods.
• Background Check: Must pass a comprehensive criminal background check due to handling sensitive patient health information.
