CCSAO is hiring an Administrative Assistant IV to provide dedicated support to Assistant States Attorneys in the Juvenile Justice Division. The role requires handling subpoenas, motions, and various case documents, with access to JUSTICE NEXUS, NICE, and SharePoint.

You will coordinate correspondence, manage records, and assist with reception during peak times. Hours are Monday through Friday, 8:30 am to 4:30 pm, with a workload that may include confidential information and occasional overtime.

Qualifications

Responsibilities

  • Receive police reports and case intake documents via email.
  • Communicate with up to 90 police districts.

Primary Function

Provide administrative support for Assistant States Attorneys assigned to Juvenile Justice Division

Working Environment

Hours Monday Friday 830 am to 430 pm

Physical Requirements

Light Work The position requires the ability to stand or walk frequently often for extended periods You may need to lift carry push or pull objects weighing up to 20 pounds regularly and occasionally heavier items The job may also involve a significant amount of walking or standing relative to sedentary roles

Duties and Responsibilities
  • Receive police reports and case intake documents via email JTDC probation screening and suburban police districts
  • Constant communication with upwards of 90 different suburban police districts
  • Enter new cases case updates and case disposition information into JUSTICE NEXUS
  • Prepare various types of subpoenas motions summons publications and other correspondence needed
  • Update new information to cases previously involved in system
  • Navigate and utilize NICE and SharePoint to upload store and update document case information
  • Update JUSTICE NEXUS NICE and SharePoint with inventory information
  • Scan email and copy documents
  • Process all closed cases using the latest destruction policy guidelines
  • Act as Lead or Back up for Overnight call when needed
  • Assist with reception relief when needed
  • Responsible for confidential information
  • Perform other duties as assigned
Qualifications Required
  • The candidate must have excellent verbal and written communication skills
  • excellent organizational skills and the ability to multi task
  • Proficiency in Microsoft Word applications required
Preferred
  • Knowledge of Nice Share Point Clerks and computer skills
  • Typing speed of 50wpm
