TxDOT's Austin District is seeking an Administrative Assistant II or III to support our Alternative Project Delivery Team in Austin, TX. This role involves providing administrative support for department staff, the public, and various projects and programs. The position requires interaction with middle and high-level managers and private entities. Employees at this level set their own work priorities to meet objectives, with issues rarely escalated to supervisors.

This position is available for either Administrative Assistant II or III. The Texas Department of Transportation reserves the right to determine the appropriate level based on the applicant's experience, education, skills, and business needs.

Salary Plan/Grade:

Administrative Assistant II: A15 ($38,976 - $58,045/year)
Administrative Assistant III: A17 ($42,976 - $64,469/year)

The core duties for an Administrative Assistant II or III include:

  • Attending meetings, preparing reports/minutes
  • Assisting with meeting coordination and follow-up
  • Communicating with agencies, private entities, and within the department
  • Organizing agendas and reviewing correspondence
  • Researching and summarizing information for supervisors
  • Handling phone requests, routing messages, and front desk duties
  • Managing inventories and supplies
  • Editing documents for clarity and accuracy
  • Maintaining records and schedules, including travel arrangements
  • Processing invoices and reimbursements
  • Performing other assigned duties, including driving a state vehicle

Additional responsibilities for Administrative Assistant III include evaluating program content and supporting procurement activities.

Minimum Qualifications:

High School diploma or equivalent. Experience requirements:

  • Admin Assistant II: 1 year of relevant experience
  • Admin Assistant III: 3 years of relevant experience, with college or technical training substitutable on a year-for-year basis

Licenses and certifications:

  • Valid driver’s license; ability to drive a state vehicle

Essential skills include proficiency with computer systems, effective communication, confidentiality, and organizational skills.

Physical requirements include sedentary work, lifting up to 10 lbs.
