Job summary

Cybermedia Technologies in Arlington, VA seeks an Administrative Assistant II (DHS Suitability) to provide executive support to CISA council, leadership, and sector-management operations. Qualifications

  • 5+ years administrative, executive-support, program-support, or operations-coordination experience.
  • Demonstrated ability to manage high-volume scheduling, records, communications, and competing deadlines.
  • Strong written communication, customer service, discretion, and attention to detail.
  • Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Ability to obtain and maintain a favorable DHS Fitness Determination (Public Trust/DHS Suitability); U.S. citizenship required.

Responsibilities

  • Manage complex calendars, scheduling, meeting registration, attendee lists, rooms, virtual platforms, and event logistics.
  • Coordinate agendas, pre-reads, briefing packages, correspondence, executive materials, and post-meeting follow-up.
  • Maintain membership rosters, distribution lists, shared mailboxes, inquiry logs, action trackers, and document repositories.
  • Route documents and requests, monitor deadlines, obtain inputs and approvals, and resolve administrative issues.
  • Draft and format routine correspondence, summaries, status reports, meeting records, and leadership-ready materials.
  • Support stakeholder communications and provide professional service to senior officials and external partners.
  • Maintain accurate records and apply privacy, records-management, accessibility, quality, and CISA/DHS formatting requirements.
  • Provide rapid administrative coordination during urgent events and maintain reliable operations amid changing priorities.

Cybermedia Technologies (CTEC) is seeking an experienced Administrative Assistant II (DHS Suitability) to join our team

PROGRAM OVERVIEW:

CISA’s Stakeholder Engagement Division requires an integrated team to support council and sector governance, approximately 500 annual engagements, stakeholder coordination, policy and risk analysis, executive communications, records, and contract management. The work spans unclassified and classified environments and requires products that are accurate, accessible, compliant, and ready for government use.

POSITION SUMMARY

Deliver experienced organizational and executive‑level support across CISA council, leadership, and sector‑management operations. The role coordinates a high volume of engagements, communications, records, and leadership products and serves as an operational hub for the team.

KEY RESPONSIBILITIES
  • Manage complex calendars, scheduling, meeting registration, attendee lists, rooms, virtual platforms, and event logistics.

REQUIRED QUALIFICATIONS
  • 5+ years administrative, executive‑support, program‑support, or operations‑coordination experience.
  • Demonstrated ability to manage high‑volume scheduling, records, communications, and competing deadlines.
  • Strong written communication, customer service, discretion, and attention to detail.
  • Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Ability to obtain and maintain a favorable DHS Fitness Determination (Public Trust/DHS Suitability); U.S. citizenship required.
PREFERRED QUALIFICATIONS
  • Prior CISA or DHS experience.
  • Experience supporting senior executives, federal councils, advisory committees, or large stakeholder meetings.
  • Experience with records‑management, correspondence‑control, workflow, or task‑tracking systems.
CLEARANCE

Ability to obtain and maintain a favorable DHS Fitness Determination (Public Trust/DHS Suitability); U.S. citizenship required.

WHAT CANDIDATES SHOULD UNDERSTAND
  • Work is expected to be onsite in Arlington, Virginia; approved telework may be available only as authorized by the Government.
  • Positions are contingent upon contract award and successful completion of applicable security or suitability processing.
  • For cleared positions, the recruiting requirement is an active Top Secret clearance with the ability to obtain and maintain SCI—not necessarily current SCI access on day one.
  • For suitability positions, candidates must be able to obtain and maintain a favorable DHS Fitness Determination. Prior DHS service may help, but a previous Public Trust is not automatically transferable or guaranteed to reactivate.

PAY RANGE- $85,000–$110,000 Annually + Benefits(Compensation and employment offer are negotiable and will be finalized based on the candidate’s relevant experience and interview assessment.
