The Administrative Assistant provides administrative and operational support to the External Relations team. This position serves as a central point of coordination for departmental activities, including scheduling, communications, purchasing, meeting and event logistics, records management, travel coordination, and general office administration.
Essential job functions include, but are not limited to:Provide day-to-day administrative support for staff within a department(s).
Prepare, edit, and proofread correspondence, reports, presentations, and legal documents, ensuring accuracy and compliance with company standards.
Assist with tracking deadlines, permits, and compliance obligations, as required by the department.
Maintain and organize electronic and hard-copy files, ensuring accurate recordkeeping and document retention in accordance with company and legal requirements.
Support the preparation of reports, filings, and submissions to ensure compliance.
Assist staff with purchasing and procurement matters to support effective management of contracts for required services.
Coordinate with internal departments and external partners to facilitate information flow.
Coordinate travel arrangements, conference registrations, and expense reporting.
Manage calendars, schedule meetings, coordinate appointments, and organize meeting logistics.
Coordinate department purchasing activities, including purchase requisitions, purchase orders, invoices, and vendor communications.
Coordinate meetings, employee events, community outreach activities, and other department-sponsored events.
Perform other duties and responsibilities as assigned .
