Job summary

Williams is hiring an administrative professional to provide clerical support, handle inquiries, and assist in projects and reporting. This role covers cost center data, scheduling, and vehicle fleet oversight to ensure safety and availability for staff.

Qualifications

  • High school diploma or GED and at least 2 years in general office or admin support.
  • Experience with Microsoft Office; strong communication and organizational skills.
  • Preferred: experience using Oracle financial systems and SharePoint.

Responsibilities

  • Provide administrative and clerical support, including confidential work.
  • Respond to inquiries from internal and external partners.
  • Support department projects, invoices, document preparation, data monitoring, and reporting.
  • Maintain cost center data and analysis.
  • Oversee daily scheduling, maintenance of office pool vehicles.
  • Ensure vehicles are safe, properly maintained, registered and compliant while maximizing staff availability.

Responsibilities/Expectations:
  • Provides administrative and clerical support, including work of a confidential nature
  • Responds to inquiries from internal and external business partners
  • Assists in the technical and functional services of the department by providing support on projects, invoice management, preparing documents for approval, monitoring data, and reporting
  • Maintains cost center data and analysis
  • Other duties as assigned
  • Oversees daily scheduling, maintenance, and tracking of office pool vehicles
  • Ensures all vehicles are safe, properly maintained, registered, and fully compliant with local regulatory standards while optimizing availability for staff use
Education/Years of Experience:
  • Required: High school diploma/GED and a minimum two (2) years’ experience in general office, clerical or administrative support

Other Requirements:
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office Applications and PC skills

  • Proactive and self-motivated professional who takes initiative to anticipate needs, streamline processes, and deliver results with minimal supervision.
  • Preferred: Experience using Oracle financial systems
  • Preferred: Basic knowledge of SharePoint
