Job summary

Henry County Schools is seeking an Administrative Assistant - Guest Services to provide frontline support in the Office of the Chief of Staff. You will greet visitors, route calls, and disseminate information with a focus on excellent customer service.

The role requires a high school diploma, strong communication skills, and reliable attendance. This position is based at our McDonough, GA campus and follows the district's salary schedule AS8.

Qualifications

Responsibilities

  • Provide high-level customer service with internal and external stakeholders.
  • Answer calls using established guidelines and route as needed.
  • Foster positive relations with the public and district staff.
  • Greet and assist visitors; manage sign-in/sign-out.
  • Maintain professional workspace; reflect positively on the District.
  • Provide first-level information and guidance to visitors/applicants.
  • Distribute items for pickup and relay requested information.
  • Navigate the HCS website to provide information to stakeholders.
  • Process US Mail efficiently and accurately.
  • Perform clerical duties as assigned.
  • Take on additional duties as needed.

Position Title: Administrative Assistant - Guest Services

Division: Office of the Chief of Staff

Reports To: Executive Director, Media & Public Relations

FLSA Status: Non-Exempt

Salary Schedule: AS8

Work Days: 244

Essential Duties:
  • 1. Provide the highest level of customer service while interacting with both internal and external stakeholders.
  • 2. Use established guidelines for call handling to provide information and/or route calls to appropriate locations.
  • 3. Support the relationship between HCS and the general public by demonstrating courteous and cooperative behavior when interacting with stakeholders, visitors, and District staff.
  • 4. Greet, assist, and announce visitors. Implement visitor sign-in & sign-out process.
  • 5. Maintain a professional workspace which reflects positively on the District in the presence of stakeholders.
  • 6. Provide instructions and first level support to visitors/applicants based on best practices.
  • 7. Distribute items left for pickup and disseminate requested information.
  • 8. Access and navigate HCS website to provide information as needed to both internal and external stakeholders.
  • 9. Effectively and efficiently manage US Mail.
  • 10. Perform clerical duties as required.
  • 11. Perform other duties as assigned
Qualifications:
  • 1. Minimum of a High School Diploma or state-approved high school equivalency (HSE), required.
  • 2. Ability to successfully operate a variety of office equipment such as computers, printers, copiers, etc.
  • 3. Ability to work well with students, parents, staff, and the community.
  • 4. Exceptional integrity, commitment to confidentiality, excellent character, and strong professional reputation.
  • 5. Ability to abide by the Georgia Professional Standards Code of Ethics for Educators.
  • 6. Ability to be regularly, predictably, and reliably at work.
  • 7. Ability to be present at the physical worksite.
  • 8. Ability to perform tasks involving prolonged periods of standing, walking, and sitting.
  • 9. Ability to perform routine physical activities such as bending and lifting/pushing/pulling up to 50
