Provides administrative support to the Division Head and team by assisting with clerical tasks, coordinating schedules, and supporting daily operations. This entry-level role focuses on task execution and learning operational systems.
Essential Functions
- Assist with administrative tasks such as maintaining calendars, scheduling appointments, preparing basic correspondence, taking meeting minutes, data entry, and organizing files.
- Compile simple reports, spreadsheets, and presentations using provided data and templates.
- Answer and direct telephone calls and greet visitors professionally; take accurate messages and elevate inquiries as needed.
- Learn and use core company systems and other technologies to support monitoring activities and report issues to senior staff.
- Communicate with internal and external personnel to exchange routine information and support operational tasks.
- Perform other duties as assigned.
Non-Essential Functions
- Fill in for colleagues as needed.
- Volunteer and participate in company events.
Job Specifications
- Work time will be indoors/office.
- Noise level will be low.
Physical Demands
- Lift a maximum weight of 35 lbs. and carry up to 35 lbs. on occasion.
- Sit approximately 7 hours per day and walk or stand the other 1 hour per day.
Additional Qualifications
Experience
- General administrative experience (2-year minimum).
- Experience with purchasing (preferred).
Special Skills
- Written communication, verbal communication, and basic mathematical skills.
- Ability to use a computer, including Microsoft Office with a focus on Word and Excel.
- Excellent interpersonal skills.
- Able to exhibit a high level of confidentiality.
