The Harpeth Heights Part Time Administrative Assistant is responsible to the church, under the direction of the Campus & Teaching Pastor for providing professional and administrative support to the Connection ministry and the Next Gen ministry which includes, preschool, children, and students.PRIMARY JOB RESPONSIBILITIES may include but are not limited to the following:Administrative SupportAssist with answering the door, helping guests, and responding to phone calls.Coordinate all Connection ministry activities including but not limited to First Time Guest milestones, Baptism milestones, and membership milestones.Manage Sunday Connection Cards and Kids Ministry Guest Cards: collect, scan, enter information into MP, and maintain a first-time guest list to support the Cookie Delivery ministry.Assist with Discover Team membership classes and follow up.Assist Next Gen Ministry to make sure that all new/incoming volunteers have completed the vetting processes, have passed their background checks, and have completed Ministry Safe training and other administrative tasks as needed.Maintain ministry platform data for Kids, Students, and Connections.Assist with purchasing supplies for Kids, Students, and Connections.Provide administrative support for any special events in the Kids, Students, or Connections ministries.Assist in communication and social media for Kids, Students, and Connections.Assist Kids Director and Student/Connection Minister with volunteer training.Order and maintain inventory of office and administrative supplies, including oversight of office equipment (e.g., copier).Update the Minister-On- Call extension line weekly.Work with Harpeth Heights Administrative Assistant (FT) to assist as needed to maintain accurate church records, comms requests, special events, etc.Collect, organize, and enter receipts from credit card for the Connection/Student Minister and Kids Director.Maintain an office atmosphere that is representative of 1 Cor. 14:40 (“everything must be done decently and in order”) along with having a basic understanding of people and how to tactfully handle sensitive and difficult situations.Other duties as assigned by the Campus & Teaching Pastor.Other ResponsibilitiesAttend quarterly staff meetings.Attend on-going Ministry Platform and other administrative trainings.COMPETENCIES AND TRAITS:In addition to the specific responsibilities required for this role, Brentwood Baptist Church also seeks candidates that possess some general competencies and behavioral traits that enhance the effectiveness of our staff.Individual ContributionManages details, tasks and projects efficiently without frequent reminders.Maximizes time effectively by focusing on “must do” priorities when necessary.Anticipates/avoids problems or formulates creative solutions.Makes timely decisions that produce quality outcomes.Adheres to commitments, schedules and deadlines.TEAM CONTRIBURITONSDemonstrates flexibility, adapts well to changing priorities or situations.Self-directed and proactive, level of supervision required is appropriate.Is willing to take on additional responsibilities, helps with a “can-do” attitude.Collaborates well with others to accomplish group tasks.Uses written and verbal communication in a way that accomplishes intended results.SELF-DEVELOPMENTPrioritizes and accomplishes self-development goals.Demonstrates an ongoing commitment to obtaining the Knowledge, Abilities, Skills, and Habits necessary to be successful in this role.Teachable spirit with a desire to learn and grow.Maintains an appropriate gap between the current job description and the employee’s current abilities that allows for future growth.QUALIFICATIONSCan identify closely with the mission, values, vision, theology, philosophy and methodology of Brentwood Baptist Church.A mature Christian who demonstrates the Fruit of the Spirit, is growing in their faith and is committed to spiritual disciplines such as Bible reading, prayer.Ability to collaborate, cooperate, and function well in a team environment.Demonstrate strong written and verbal communication skills.Must possess good organizational skills, be detail-oriented, and administratively minded.Dependable, discreet, friendly, professional, and neat.Must meet the Brentwood Baptist Church employee benchmark for computer competency.Possess a track record of dependability and trustworthiness regarding handling finances.EDUCATION & EXPERIENCE:High school diploma required; bachelor’s degree in relevant discipline preferred.3-5 years’ experience working as an administrative assistant.All campuses function under the governance of Brentwood Baptist Church.
