Position Overview:
We are currently seeking a
Financial & Operations Administrative Assistant to support our Vice President of Finance & Operations. This role is essential to the daily function of our business and offers the opportunity to grow with the company over time.
This position blends administrative, financial, and operational tasks, and is ideal for someone who thrives in a fast-paced, hands-on environment and enjoys variety in their day-to-day work. If you have administrative assistance experience with a stronger finance/business acumen, this job is for you!
Key Responsibilities:
- Front desk clerical support
- Monitor and follow up on Accounts Receivable aging reports; manage collections
- Review vendor invoices and process Accounts Payable
- Perform bank-related tasks, including check reconciliation, scanning, and daily deposits
- Update and maintain customer records in our ERP system (NetSuite), including contact and payment information
- Answer and route incoming office phone calls
- Assist customers with changes to payment methods or terms
Qualifications:
- Experience with journal entries (even at a basic level)
- Previous experience working in an ERP system (NetSuite is a plus; Oracle, Acumatica, SAP, or Microsoft Dynamics also valuable)
- Familiarity with Microsoft office products, Google Gmail and Google Calendar
- Familiarity with Accounts Receivable and Accounts Payable processes
- Strong attention to detail and organizational skills
- Positive attitude, team-oriented, and comfortable working in a flexible, evolving environment
Education
- Associates degree in business administration or accounting/finance preferred
