The Administrative Assistant, Corporate Communications will support Sony Music’s Corporate Communications team. You will be a curious, highly organized, team player who works closely with the broader group to support efforts across the entire division and help execute the Company’s Corporate Communications strategy.
What you'll do:
- Manage all administrative needs for the Executive Vice President, Corporate Communications, including calendar coordination, meeting arrangements, travel bookings, and expense reports.
- Handle expense reports and travel processes for three other Communications leaders as directed.
- Organize and produce agendas for the Corporate Communication team’s weekly meetings and other related tasks.
- Develop agendas, book speakers, and coordinate team strategy meetings throughout the year.
- Order and manage team supplies regularly.
- Facilitate the daily morning clips process by gathering and monitoring global news outlets for relevant Sony Music news and industry clips, distributing them to senior executives by a set time each morning, and monitoring breaking news throughout the day.
- Create and distribute regular clip round-ups while maintaining a press database.
- Oversee invoice payments and finance logistics in collaboration with the EVP.
- Coordinate with Sony Music’s Corporate Communications team and liaise with Sony Corp’s Corporate Communications on various requests.
- Maintain and update all team calendars and press/distribution lists.
- Support engagement efforts by working with the Audience Coordination team, including sending company-wide emails, creating intranet content, and developing content series.
- Organize team activities and suggest ways to improve efficiency and collaboration.
- Perform other relevant tasks such as maintaining distribution lists, sending emails, distributing mail, and supporting the team’s overall activities.
- Engage with team members on projects beyond your defined role as needed.
Who you are:
- At least 1-2 years of relevant administrative experience.
- Excellent organizational skills and attention to detail.
- Respectful of deadlines.
- Experience with video content development and editing is a plus.
- Exceptional communication and time management skills.
- Ability to work in confidential environments.
- Proactive, flexible, and able to work independently with strong problem-solving and interpersonal skills.
- Capable of managing multiple priorities and deadlines simultaneously.
- Organized professional with strong relationship-building skills.
- Interested in a career in Communications.
- Available to work evenings and weekends as needed for events and communication needs.
