The Houston, Texas office of Norton Rose Fulbright US LLP is seeking an Administrative Assistant to support the Compliance Team. The ideal candidate is professional, detail-oriented, and able to manage multiple projects in a fast-paced environment.

Additional responsibilities include but are not limited to:

  • Respond to Compliance Lawyer and staff requests to perform conflicts of interest searches pertaining to laterals and other special projects.
  • Act as a liaison between the Lateral Compliance Team and the Recruiting Teams by reviewing new conflict check requests for accuracy and completeness, determining deadlines, and following up for more information as needed.
  • Review and interpret documentation provided by lateral hire candidates and enter relevant data into conflicts database.
  • Utilize Excel spreadsheets to track progress of lateral candidate hiring and organize conflicts clearance provisos.
  • Maintain conflict system integrity by inputting, updating, and retiring lateral data on an ongoing basis pursuant to set guidelines.
  • Assist with other duties related to the resolution and clearance of the conflicts of interest issues, as assigned.
  • Maintain and update conflicts and client matters databases, including data clean-up projects.
  • Other administrative duties and special projects, as assigned.

Qualifications & Skills:

  • Bachelor’s degree preferred.
  • At least two years of professional experience.
  • One year of conflicts or legal assistant experience, or similar law firm experience in a decision-making capacity, preferred.
  • Professionalism, personal integrity, and a high degree of confidentiality and discretion.
  • Attention to detail, accuracy, responsiveness, and excellent organizational skills required.
  • High level of proficiency in MS Word, Outlook, and Excel required.
  • Preferred experience with a legal industry standard conflicts database (i.e., Elite Enterprise Conflicts Manager, Intapp).
  • Demonstrate good judgment and accountability for delivering excellent service.
  • Possess excellent interpersonal and communications skills; both written and oral.
  • Strong critical thinking and analytical skills.
  • Ability to adapt in an ever-changing environment, including the ability to prioritize.
  • Confident interacting with all levels of the organization, both legal and administrative.
  • Reliable, flexible, and a can-do attitude in all situations is essential.
