We are seeking a highly organized and detail‑oriented Administrative Assistantto support our administrative office and multiple departments. This role provides essential operational, clerical, and organizational support to leadership and staff while ensuring smooth day‑to‑day office functioning.
Key Responsibilities
- Oversee and document car maintenance activities.
- Assist with data collection for quality improvement initiatives.
- Manage bills, purchases, expenses, and order supplies/equipment.
- Maintain service logs, billing logs, and audit-ready documentation.
- Process and manage personnel files.
- Keep/organize/order supply room, inventories
- Handle general office tasks: maintenance work request and orders, filing, phones, database maintenance, data base buildings, copying, faxing..
- Provide administrative support to department leadership, including scheduling, calendar management, meeting notes, and preparation of materials.
- Organize and maintain accurate internal and external reports.
- Process invoices, department expense reports, credit card statements, and budget-related documents.
- Process employee timesheets.
- Review documents for accuracy and compliance with agency policies.
- Serve as a liaison with internal teams, external partners, government officials, vendors.
- Maintain professional and respectful communication within the organization.
- Perform additional duties as assigned.
Qualifications
- High School Diploma or GED required.
- Minimum 1 year of secretarial experience; 1–4 years administrative or office management
- Ability to pass required background and health clearances.
- Excellent organizational, written, and verbal communication skills.
- Strong interpersonal skills and cultural sensitivity.
- Proficiency in Microsoft Word, Excel, Outlook, and general computer applications.
- Ability to multitask, work independently, and adapt to a fast-paced environment.
- Strong attention to detail and ability to maintain confidentiality.
- Team-oriented mindset and ability to collaborate with diverse staff and stakeholders.
The hourly rate for this position is $21
