Position Details:

As an Administrative Assistant with the Office of Schools and Instructional Core, you'll play an important role in supporting schools and district leaders through communication, coordination, data, and special projects. We're looking for someone who takes initiative, pays attention to the details, and enjoys being part of a collaborative team focused on supporting our schools and students. This non-exempt positionworks 52 weeks per year.

Salary:

$49,000 - $56,265. Salary will be commensurate with applicant's experience and work history.

EVSC offers four (4) Anthem medical insurance plans. Full medical, dental and vision insurance are provided with this position. Employees may pay the additional cost to add family members. SUMMARY:

The Administrative Assistant provides high-level administrative and operational support to the Office of Schools and Instructional Core, requiring initiative, organization, discretion, and sound judgment in handling confidential and sensitive information. The position will coordinate communication, data and reporting, staffing and enrollment information, grants, and cross-departmental initiatives while serving as a primary point of contact for the office.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Other duties may be assigned.

  • Establish and maintain good working relationships with corporation staff members, general public, public agencies, and other school corporations regarding school related support and issues, while providing excellent customer service.
  • Receive and disseminate critical information in a calm, supportive and professional manner.
  • Prepare standard communication materials including letters, communications, complex reports, and other documents as requested.
  • Gather and organize school and district data as needed by OSIC staff.
  • Prepare documentation for state and federal reports and support school staff in meeting reporting expectations.
  • Collaborate across departments to coordinate grant tracking, reporting, and related documentation to support compliance with grant requirements and deadlines.
  • Coordinate with multiple departments to gather, maintain, and communicate staffing and enrollment information to support district planning and operational needs.
  • Develop, create, and maintain data tracking systems to organize information, monitor trends, and support accurate and timely reporting.
  • Coordinate and process requests for public information, surveys, and reports in compliance with state and federal laws.
  • Assist in preparation of information for board meetings.
  • Monitor and track Indiana education laws to comply with state legislation changes.
  • Maintain OSIC budget and prepare related budget reports for OSIC.
  • Prepare purchase orders, process expenses, and arrange for travel for the OSIC.
  • Maintain department supplies, ordering and refilling as necessary.
  • Coordinate scheduling district events coordinated by OSIC and assist in balancing conflicting priorities.
  • Coordinate training and meetings/conferences for OSIC. Assure appropriate facilities are arranged, logistics coordinated and manage details appropriately.
  • Prepare and maintain payroll and attendance records for OSIC staff.
  • Prepare reports for Indiana Department of Education (IDOE).
  • Lead communication efforts for OSIC to internal and external staff members through established communication tools (i.e. Connect, Workplace)

EDUCATION AND/OR EXPERIENCE:

High School diploma or general education degree (GED) required. Office experience required. Highly proficient in the use of technology and software, including, but not limited to, Microsoft Office with extensive experience in Excel and Word, and Google applications. Experience with Powerschool preferred.
