Job summary

Louisiana Department of Health’s Office of Public Health seeks a highly responsible administrative specialist to support the Deputy Assistant Secretary for the Center for Environmental Health, coordinating information and guiding staff and external inquiries.

The role provides executive-level support to DAS and may assist other senior leaders; duties include handling calls, correspondence, travel, purchasing, HR liaison, and time administration. Location: East Baton Rouge Parish, LA.

Qualifications

  • Four years of experience in administrative services.
  • Experience substitution: every 15 semester hours earned equals six months of experience.
  • Acts as liaison to senior management, handling information flow for the Center for Environmental Health.
  • Strong communication, time management, and organizational skills.

Responsibilities

  • Serves as the primary liaison to the Office of Public Health Deputy Assistant Secretary for the Center for Environmental Health.
  • Answers and screens daily incoming calls related to sensitive matters and determines actions to take.
  • Communicates with bureaus, programs, and offices essential to the functions of the DAS and with state/national entities on behalf of senior leaders.
  • Serves as an authorized time administrator for the Center for Environmental Health.
  • Serves as travel administrator for the Center for Environmental Health and processes purchases for the Center.

Job description

The mission of the Louisiana Department of Health is to protect and promote health and to ensure access to medical, preventive, and rehabilitative services for all residents of the State of Louisiana.

This highly responsible position provides excellent customer service and business support that contributes to the growth and success of the Office of Public Health senior management/ executive team and workforce-at-large. The position is the primary support to the Deputy Assistant Secretary and provides information and guidance to individuals who seek internal and external information related to the Center of Community Preparedness and Health Protection.

The position demonstrates executive-level, administrative duties in support of the Deputy Assistant Secretary over the Center for Environmental Health. They may also support the Office of the Assistant Secretary, other Deputy Assistant Secretaries, and the Executive Management Team to administer OPH statewide programs.

An ideal candidate should possess the following competencies:

Four years of experience in administrative services.

EXPERIENCE SUBSTITUTION:

Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties:
  • Serves as the primary liaison to the Office of Public Health Deputy Assistant Secretary for the Center for Environmental Health.
  • Answers and screens daily incoming calls related to sensitive and confidential matters and determines appropriate actions to take.
  • Communicates and corresponds with bureaus, programs, and offices essential to the functions of the DAS. Communicates with state and national associations and other local, state, and federal entities on behalf of the Deputy Assistant Secretary, Deputy Assistant Secretaries, and Executive Management Team, as assigned.
  • Serves as an authorized time administrator for the Center for Environmental Health.
  • Serves as an initiator and travel administrator for the Center for Environmental Health
  • Purchases supplies and other items needed for the Center for Environmental Health. Prepares purchase orders for services and goods for the Center.
  • Serves as the HR Liaison for the Deputy Assistant Secretary, Center for Environmental Health, and Bureau Directors.
