Job summary

ExamWorks in Phoenix, AZ is seeking a full-time in-office Administrative Assistant. The role handles front-desk duties, phone coverage, mail processing, scheduling, document preparation, and general clerical tasks to support a busy medical office.

The ideal candidate has a high school diploma (or equivalent) with at least 1 year of related experience, preferably in a medical setting, and strong MS Office skills including Word, Outlook, Excel and PowerPoint.

Qualifications

  • High school diploma or equivalent required; health/medical office experience preferred.
  • Proficient with MS Word, Outlook, Excel, PowerPoint and Internet.
  • Typing speed of at least 45 WPM.
  • Ability to follow instructions and work with minimal supervision.
  • Demonstrates accuracy, thoroughness and confidentiality in handling information.

Responsibilities

  • Greet visitors and direct them appropriately.
  • Answer multi-line phone system professionally and route calls.
  • Process mail and faxes; manage incoming/outgoing deliveries.
  • Coordinate meetings, travel arrangements and document preparation.
  • Maintain documents and office supply inventory; keep office clean and organized.
  • Support staff on project-based tasks and training activities.

Our Phoenix office is looking for a Full-time in office Administrative Assistant to join our team!

ESSENTIAL JOB FUNCTIONS
  • Greet visitors and direct them appropriately.
  • Answer multiple phone lines in a professional and courteous manner. Screen each call by obtaining the callers' name and nature of the call, then route the call appropriately.
  • Deliver incoming faxes, mail and/or packages to the appropriate person upon receipt and process outgoing mail daily.
  • Organize and coordinate meetings, conferences and travel arrangements as needed.
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails.
  • Perform clerical duties such as typing, filing, and proofreading as required.
  • Maintain and retrieve electronic and hard copy documents as needed.
  • Assist with the set-up, maintenance, and cleanliness of physical exam rooms.
  • Maintain office inventory and place supply orders when needed.
  • Oversee the cleanliness of the office and report any issues or repairs needed to management.
  • Maintain record of company issued items such as parking passes, office keys, etc.
  • Help to resolve customer concerns and issues and work closely with co-workers to ensure the highest level of customer service and satisfaction is achieved.
  • Promote effective and efficient utilization of office resources and supplies.
  • Support staff in assigned project based work.
  • Participate in various educational and or training activities as required.
  • Perform various duties as assigned.
QUALIFICATIONS

MINIMUM REQUIRED QUALIFICATIONS

Education and/or Experience

High school diploma or equivalent required. A minimum of one year related experience; or equivalent combination of training and experience. Experience in a medical office preferred.

QUALIFICATIONS
  • Must possess complete knowledge of general computer, fax, copier, scanner, and telephone.
  • Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Outlook, Excel, PowerPoint and the Internet.
  • Must be a qualified typist with a minimum of 45 W.P.M
  • Ability to follow instructions and respond to management's directions accurately and efficiently.
  • Demonstrates accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.
  • Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.
  • Must be able to work independently with minimal supervision, prioritize work activities and use time efficiently.
  • Must be able to maintain confidentiality.
  • Must be able to demonstrate and promote a positive team -oriented environment.
  • Must be able to stay focused and concentrate under normal or heavy distractions.
  • Must be able to work well under pressure and or stressful conditions.
  • Must possess the ability to manage and direct change, delays, or unexpected events appropriately.
  • Ability to follow all company policies and procedures in effect at time of hire and as they may change or be added from time to time.
