Job summary

ExamWorks in Phoenix is seeking a Full-time Administrative Assistant to provide clerical support to a department and the General Manager, helping the organization run smoothly and efficiently.

Responsibilities include greeting visitors, handling multi-line phone coverage, mail and packages, meeting and travel coordination, document preparation, filing, and maintaining office supplies and exam room setup.

Qualifications

  • High school diploma or equivalent required; experience in a medical office preferred.
  • Proficient with Word, Excel, Outlook and basic internet usage; strong typing skills.
  • Excellent communication, organization and attention to detail; ability to work independently.

Responsibilities

  • Greet visitors and direct them appropriately.
  • Answer multiple phone lines professionally and route calls.
  • Process mail, faxes and packages; maintain filing and records.
  • Organize meetings, travel, and prepare documents including emails and reports.
  • Maintain office inventory and assist with exam room setup and cleanliness.
  • Provide general clerical support to the department and General Manager.

Job description

Our Phoenix office is looking for a Full-time in office Administrative Assistant to join our team!The Administrative Assistant provides administrative support to a department and/or General Manager in order to aid in the efficient operation of the organization. Duties include, but are not limited to, general clerical, reception and telephone duties, office supply purchasing, filing, and project based work.ESSENTIAL JOB FUNCTIONSGreet visitors and direct them appropriately.Answer multiple phone lines in a professional and courteous manner. Screen each call by obtaining the callers’ name and nature of the call, then route the call appropriately.Deliver incoming faxes, mail and/or packages to the appropriate person upon receipt and process outgoing mail daily.Organize and coordinate meetings, conferences and travel arrangements as needed.Prepare and modify documents including correspondence, reports, drafts, memos and emails.Perform clerical duties such as typing, filing, and proofreading as required.Maintain and retrieve electronic and hard copy documents as needed.Assist with the set-up, maintenance, and cleanliness of physical exam rooms.Maintain office inventory and place supply orders when needed.Oversee the cleanliness of the office and report any issues or repairs needed to management.Maintain record of company issued items such as parking passes, office keys, etc.Help to resolve customer concerns and issues and work closely with co-workers to ensure the highest level of customer service and satisfaction is achieved.Promote effective and efficient utilization of office resources and supplies.Support staff in assigned project based work.Participate in various educational and or training activities as required.Perform various duties as assigned.MINIMUM REQUIRED QUALIFICATIONSEducation and/or ExperienceHigh school diploma or equivalent required. A minimum of one year related experience; or equivalent combination of training and experience. Experience in a medical office preferred.QUALIFICATIONSMust possess complete knowledge of general computer, fax, copier, scanner, and telephone.Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Outlook, Excel, PowerPoint and the Internet.Must be a qualified typist with a minimum of 45 W.P.MAbility to follow instructions and respond to managements’ directions accurately and efficiently.Demonstrates accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.Must be able to work independently with minimal supervision, prioritize work activities and use time efficiently.Must be able to maintain confidentiality.Must be able to demonstrate and promote a positive team -oriented environment.Must be able to stay focused and concentrate under normal or heavy distractions.Must be able to work well under pressure and or stressful conditions.Must possess the ability to manage and direct change, delays, or unexpected events appropriately.Ability to follow all company policies and procedures in effect at time of hire and as they may change or be added from time to time.WHO WE AREExamWorks is a leading provider of innovative healthcare services including independent medical examinations, peer reviews, bill reviews, Medicare compliance, case management, record retrieval, document management and related services.
