You’ll manage schedules, coordinate meetings and travel, assist with office and employee needs, maintain important documentation, and support a variety of projects and priorities across the organization. As Streamex continues to grow, there will be opportunities for this role to expand in scope and responsibility.

Who You Are

You have 3–5 years of professional experience with a strong background in administrative, executive, or office support.

You're highly organized, detail-oriented, and comfortable managing multiple priorities at once. You know how to anticipate needs, stay one step ahead, and ensure that schedules, meetings, documents, and day-to-day administrative responsibilities are handled accurately and efficiently.

You're a strong communicator who is comfortable interacting with executives, employees, vendors, and external partners. You understand the importance of professionalism and discretion when working with confidential or sensitive information.

You thrive in a fast-paced environment where priorities can shift quickly. Whether you're coordinating executive calendars, organizing a company meeting, helping with onboarding, managing vendors, or jumping into a special project, you're resourceful, adaptable, and willing to help wherever needed.

Experience within finance, financial services, fintech, banking, wealth management, or another professional services environment is a plus, but not required.

You are proficient in Microsoft Office and comfortable learning new technologies and business platforms. Experience with CRM systems, project management software, or DocuSign is also a plus.

What You Will Do

You will provide administrative support to executive leadership while helping ensure the day-to-day needs of the office and broader organization are handled efficiently.

Responsibilities Include
  • Manage executive calendars, scheduling, travel arrangements, and meeting coordination
  • Coordinate internal and external meetings, including preparing agendas and tracking follow-up items
  • Manage executive expense reports, invoices, and administrative documentation
  • Assist with office operations, vendors, facilities, supplies, and equipment
  • Organize company meetings, events, and team activities
  • Support new hire onboarding and employee logistics
  • Maintain business records, documentation, and digital filing systems
  • Coordinate document execution using DocuSign and other business platforms
  • Prepare presentations, spreadsheets, reports, and executive communications
  • Track deadlines, meetings, and administrative deliverables
  • Coordinate with teams across the organization to support day-to-day business needs
  • Assist with special projects and other administrative priorities as needed
  • Maintain confidential business information with professionalism and discretion
  • Identify opportunities to improve organization and administrative processes
Required
POSITION REQUIREMENTS
  • 3–5 years of professional experience in administrative, executive support, office administration, or a related role
  • Strong administrative and/or executive support background
  • Experience managing calendars, meetings, travel, documentation, and competing priorities
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Exceptional attention to detail and follow-through
  • Ability to work independently while collaborating effectively with others
  • Proficiency with Microsoft Office
  • Professionalism, sound judgment, and discretion when handling confidential information
  • Ability to adapt quickly and remain organized in a fast-paced environment
Preferred
  • Experience supporting executive leadership
  • Experience within finance, financial services, fintech, banking, wealth management, or a related industry
  • Experience working in a high-growth or entrepreneurial environment
  • Experience with Salesforce or another CRM platform
  • Experience with DocuSign and project management software such as Asana, ClickUp, Monday.com, or Jira

Compensation

Base salary: $60,000–$70,000
