Job summary

Royal Westerly Nursing and Rehabilitation Center in Rhode Island seeks an Administrative Assistant to support reception, scheduling, and resident services. You will greet visitors, manage calls, coordinate staff paging, and assist with clerical tasks in a compassionate long-term care setting.

The role requires strong communication, confidentiality, and proficiency in Microsoft Office, with prior scheduling software experience preferred. A supportive work environment and weekly pay are offered.

Qualifications

• High school diploma or equivalent.
• Experience in long-term care or healthcare is a plus.
• Strong organizational and multi-tasking abilities.

Responsibilities

• Greet visitors and maintain Visitor's Log, and direct vendors.
• Receive and follow reception schedule per policy.
• Answer calls and route to appropriate staff.
• Relay requests and locate personnel via paging system.
• Maintain resident/file listings and on-call contacts.
• Assist with typing, filing, and mail distribution.
• Support scheduling and administrative tasks as needed.
• Keep Microsoft Office skills updated; prior scheduling software experience helpful.
• Other duties as assigned.

RESPONSIBILITIES

Including, but not limited to:

• Responsible for greeting visitors and guests to our facility, including maintaining the Visitor's Log and checking in vendors or other service providers.
• Receive and follow reception schedule/instructions from your supervisor and as outlined in our established policies and procedures.
• Answer telephone, determine nature of call and direct caller to appropriate individual or department.
• Receive requests from within the facility and locate personnel through the paging system.
• Maintain a current file/listing of residents by name and room number, emergency phone members of on-call personnel, department extensions, key personnel, etc.
• Maintain a current listing of critical residents and/or residents who may not receive phone calls due to their condition. (May refer such calls to Nurse Supervisor/Charge Nurse.
• Greet visitors. Direct to the appropriate office and/or resident room.
• Ensure guests/visitors to abide by existing rules and refuse admission to persons as directed.
• Assist with administrative duties as directed. (Includes typing, filing, posting accounts.
• Receive, sort, and distribute mail as directed.
• Excellent communication skills and the ability to multi-task in a fast-paced healthcare environment are required. Knowledge of Microsoft Office and prior experience with Scheduling Software is required.
• The ideal candidate will also have previous organizational experience.
• Specific experience with Excel, On Shift, and Expense Watch is also a plus.
• All other duties as assigned.

SKILLS

• High school diploma or equivalent
• Previous experience in long-term care or other healthcare settings is a plus.
• Detailed oriented with excellent follow-up skills.
• Ability to multi-task and work in a fast-paced environment.
• Excellent interpersonal skills.
• Knowledge of office technology
• Comfortability with Microsoft Office.
• Ability to learn new software programs.
• Previous experience in a skilled nursing facility.
• Must be capable of maintaining regular attendance
• Good verbal and written communication skills
• Must be able to maintain confidentiality regarding employee, resident and company
• proprietary information
• Must have the ability to relate professionally and positively and work cooperatively with patients, families, and other employees at all levels
• Must possess computer skills of the type and at a level necessary to accomplish the job.
