Installed Building Products Tulsa is seeking an administrative professional to support sales and service teams in a fast-paced environment. You will handle data entry, communications with customers and suppliers, and ensure accurate invoicing. The role requires strong organizational skills and reliability.

Qualifications

• 1-2 years of admin experience.

Responsibilities

• Data entry and recordkeeping.
• Communicate with customers, installers, and subcontractors via email/phone.
• Verify site readiness and take down calls for estimates.
• Process client billing and invoicing accurately.
• Create work orders and maintain detailed notes on accounts.

Job description

Key Responsibilities

• Data entry
• Communicate with customers, Installers, and subcontractors via email and/or phone
• Follow-up calls to verify if the work site is ready
• Take down calls for estimates and communicate with the sales staff
• Verify job site and any missing information for daily sales/service/purchase orders
• Open and maintain detailed notes on customer accounts
• Navigate clients' websites for job specifications and status updates
• Scan and attach documents
• Manage and process client billing and invoicing in a timely and accurate manner
• Perform other administrative and financial support tasks
• Payroll processing and timekeeping
• Create work orders

Role Requirements

• 1-2 years of admin experience
• Fluent English/Spanish language skills are a plus
• Knowledge of Microsoft Office products, including Word, Excel, and Outlook
• Excellent communication and interpersonal skills
• Ability to prioritize, multitask, and manage time efficiently
• Knowledge of customer service ethics, principles, and procedures
