Job summary

Installed Building Products Tulsa is seeking an administrative assistant to support sales and operations. You will handle data entry, communications with customers, installers, and subcontractors, and help verify site readiness.

You will also assist with order details, notes, and document management to ensure smooth daily workflows. The role emphasizes strong organization, multitasking, and professional customer service.

Qualifications

  • 1–2 years of admin experience.
  • Fluent English/Spanish language skills are a plus.
  • Knowledge of Microsoft Office products, including Word, Excel, and Outlook.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize, multitask, and manage time efficiently.
  • Knowledge of customer service ethics, principles, and procedures.

Responsibilities

  • Data entry and administrative support.
  • Communicate with customers, installers, and subcontractors via email and phone.
  • Follow-up calls to verify if the work site is ready.
  • Take down calls for estimates and communicate with sales staff.
  • Verify job site and missing information for daily orders.
  • Open and maintain detailed notes on customer accounts.
  • Navigate clients’ websites for job specs and status updates.
  • Process client billing and invoicing accurately.

  • Payroll processing and timekeeping

Role requirements:
