Job summary

Insight Global in Tukwila, WA is seeking a Temporary Records and Document Management Specialist for a 2-month contract onsite. You will review and sort documents, apply labels and indexing, and ensure retention and destruction comply with schedules and public records rules.

The role involves handling sensitive information and working with governmental and public stakeholders. Essential duties include organizing documents by program/type, flagging PII, and maintaining simple logs.

Qualifications

  • Associate’s degree and moderate customer service and administrative experience or equivalent combination of education and experience.
  • Strong attention to detail when reviewing large document volumes.
  • Ability to follow written instructions, classification guides, and standardized processes.
  • Basic understanding of confidentiality and safeguarding sensitive information.
  • Maintain organized records and track work completed.
  • Ability to work independently on assigned tasks within defined parameters.
  • Proficiency using Microsoft Office programs including Outlook, Word, Excel, and PowerPoint and database software.
  • General knowledge of the principles and practices of public housing and/or assisted housing.
  • Knowledge of public housing eligibility rules, regulations and requirements.
  • Ability to analyze facts and exercise sound judgment.
  • Ability to operate personal computer and communicate ideas effectively both orally and in writing.
  • Ability to establish and maintain effective working relationships with governmental officials, residents, the general public and associates.

Responsibilities

  • Review assigned physical and electronic documents and identify document attributes such as program, financing source, tenant or non-tenant status, and record type using established standards.
  • Sort and organize documents into predefined categories to support compliant retention, secure storage, archival transfer, or authorized destruction.
  • Apply document labels, file naming conventions, and indexing practices as instructed by Records Management staff.
  • Identify and flag documents that contain personally identifiable information (PII) or sensitive information for handling consistent with privacy and technology use policies.
  • Prepare documents for retention, transfer, or destruction only after verification of applicable retention schedules and receipt of required approvals.
  • Maintain simple tracking logs or inventories documenting documents reviewed, categorized, or prepared for disposition.

Job description

Duration: 2-month contract with potential for extensions

Location: Tukwila, WA 98188 (onsite)

Pay Rate: $37.02/hr

Note: Candidate will have to pass 2 assessments through a 3rd party vendor- Basic Office Skills and Customer Service Mindsets. And we also have a Rent Calculation Test we'll send them in a pdf file.

Description:

This is a temporary, project-based position created to support our client's document organization, records retention, and authorized destruction efforts. The Temporary Records and Document Management Specialist reviews and sorts physical and electronic documents into established categories—such as financing type, tenant status, program type, and record series to support compliance with our records retention schedules and Washington State public records requirements.
