Job summary

Job Description

The Administrative Assistant facilitates the operation of the administrative staff by performing a variety of clerical duties including answering the telephone, mail distribution, operating and maintaining all office equipment and producing reports. Performs clerical duties for the Laboratory Director and all laboratory employees as needed to support operational processes.

Essential Duties and Responsibilities:

  • Operates a multi-line telephone system. Screens and routes incoming telephone calls to the appropriate department or employee to ensure clients and vendors are responded to in an expedient and professional manner.
  • Greets clients, vendors and visitors to the laboratory at the front desk and follows appropriate sign-in procedures to maintain a professional business environment.
  • Operates standard office equipment such as computers, faxes, scanners, multi-line telephone systems and copiers to ensure that communications are handled efficiently and professionally.
  • Schedules vendors for service of office equipment.
  • Inventories and orders office supplies so that appropriate supply levels are on hand to perform necessary job duties.
  • Produces a variety of reports and correspondence for laboratory management for use in production planning and reporting purposes.
  • Distributes mail, faxes and various business correspondence to the appropriate department or employee so that it may be processed in a timely manner daily.
  • Accounts Payable - codes invoices and obtains purchase order numbers for weekly processing.
  • Maintains petty cash and distributes funds as needed for the purchase of items for the laboratory.
  • Coordinates travel arrangements for laboratory management as needed for business meetings.
  • Schedules appointments and meetings for laboratory management so they may be apprised of their upcoming schedule.
  • Schedules and coordinates special occasions and events for the lab
  • Audits expense reports for laboratory management to ensure reports contain accurate information.
  • Monitors and tracks completion of employee trainings and compliances.
  • Supervises temporary employees when needed to ensure work is completed properly.
  • Files reports and client information so that information can be retrieved when needed.
  • Supports project management.
  • Purchasing.
  • Assist and support in organization of laboratory move.
Qualifications

Basic Minimum Qualifications:

  • High school diploma or GED. BS or BA degree is preferred, but not required.
  • 2 Years Previous experience with A/R or Customer Service Experience.
  • Authorization to work in the United States indefinitely without restriction or sponsorship
  • Professional working proficiency in English is a requirement, including the ability to read, write and speak in English

The Ideal candidate would possess:

  • Very proficient with computers and Microsoft Office programs, especially Excel
  • Business accounting background and department coding experience helpful
  • Use of basic office equipment
  • Basic mathematical skills
  • Basic office skills
  • Good written and verbal communication skills
  • Ability to interact professionally with the public
  • Ability to prioritize workload and manager interruptions
  • Work independently with minimal supervision
  • Must be able to pass a background check and drug screen
Additional Information

Position is full-time day shift Monday - Friday, 8 AM - 4:30 PM

Compensation rate: Starting Rate is $18/hr based on experience

Eurofins Environment Testing (USA) provides a compensation range for informational purposes, the actual base salary may vary based upon, but not limited to, relevant experience and skill set, base salary of internal peers, business sector, and geographic location.
