Administrative Assistant Opportunity

Tallahassee State College (TSC), recently recognized as one of the Most Promising Places to Work in Community Colleges for 2025, is excited to announce a full-time opportunity for the position of Administrative Assistant – P10551 with Tallahassee Collegiate Academy (TCA). We are seeking a dedicated professional who shares our commitment to fostering a vibrant workplace community.

What You’ll Do

The Administrative Assistant performs advanced clerical/secretarial and administrative support functions of considerable variety and complexity, requiring exercising considerable judgment and initiative in completing assignments for a dean, manager, chair, or coordinator. This role serves as a primary point of contact for internal and external stakeholders relating to school expenses, maintaining financial records, preparing reports, and supporting the overall financial operations of the school. The ideal candidate must be able to work independently on projects and handle a wide variety of time-sensitive activities and confidential matters with discretion. The Administrative Assistant reports to the principal; this is a 12-month position.

Day-to-day responsibilities include:

  1. Receiving, writing receipts for, counting, and verifying money for various activities.
  2. Preparing deposits in accordance with school and district procedures.
  3. Collecting and organizing all spending receipts related to school expenses.
  4. Uploading receipts to the designated financial management system promptly and accurately.
  5. Ensuring all receipts are properly documented and categorized.
  6. Communicating with vendors concerning purchase orders, receiving supplies, and verifying against purchase orders to process payments.
  7. Ensuring compliance with all school, district, state, and federal financial regulations and responsibilities.
  8. Supporting internal and external audits by providing necessary documentation and reporting.
  9. Welcoming visitors and maintaining secure entry access to the school.
  10. Receiving incoming calls, routing them to the correct person, and taking accurate messages.
  11. Keeping student records, staff files, and other important documents organized and up-to-date.
  12. Handling incoming and outgoing mail, emails, and other forms of communication.
  13. Coordinating appointments for the principal.
  14. Managing the front office to ensure proper supply stocks, organization, and operation of the office.
  15. Providing other clerical support and duties as assigned related to administrative support.

Who We’re Looking For

We seek a candidate who brings not only technical expertise but also a passion for education and student success. Our ideal candidate will have:

  1. Graduation from high school (standard high school or equivalency diploma).
  2. Four (4) years of secretarial and/or clerical experience; or an equivalent combination of education and experience.
  3. Excellent written, oral, and verbal communication skills with the ability to tailor communications appropriately to audiences (parents, students, Board members, community, college partners).
