Job summary

Ranken Technical College is seeking an Administrative Assistant to the Vice Presidents. The role supports executive-level staff, coordinates calendars, and prepares reports while maintaining confidentiality and professionalism.

Evening and occasional weekend hours may be required to participate in campus events and special projects. The position offers opportunities to work across departments and contribute to student success initiatives.

Qualifications

  • High school diploma with college business courses; associate degree preferred.
  • Excellent interpersonal and written/verbal communication skills.
  • Ability to work independently and as part of a team.
  • Experience in administrative support and handling confidential information.

Responsibilities

  • Prepare correspondence and reports with gathered data.
  • Track calendars, schedule appointments, and greet visitors.
  • Perform routine admin duties: calls, filing, copying, mailings, faxing, scanning.
  • Coordinate ADRB hearings; take notes and share results; maintain student records.
  • Attend meetings, take notes, and file minutes.
  • Plan and coordinate campus projects and events.
  • Create Letters of Appointment and submit to payroll.
  • Coordinate Summer Camps for middle/high school students.
  • Perform Backflow processing for Workforce Development.

Purpose Of The Role

Provides administrative assistance to the Vice Presidents of the College.

Responsibilities
  • Prepare correspondence and reports including gathering needed data.
  • Tracks calendars, schedules appointments, and greets visitors.
  • Performs routine administrative duties such as answering phone calls, filing, creating copies, coordinating mailings, faxing, scanning, etc.
  • Coordinates and prepares for Academic Discipline Review Board (ADRB) hearings. Compiles notes during the hearings and emails results following. Maintains student records regarding attendance, discipline, and ADRB results.
  • Attends various meetings, compiles notes during, and files meeting minutes after.
  • Plans and coordinates special projects and campus events as assigned.
  • Creates Letters of Appointment prior to the start of each semester and submits to payroll prior to the deadline.
  • Responsible for communicating, planning, and coordinating Summer Camps for middle and high school age kids.
  • Performs Backflow processing for Workforce Development.
Qualifications
  • Required: High school education with college business courses; associate degree preferred.
  • Superior customer service skills with excellent interpersonal and communication skills in person, writing, over the telephone, and via email.
  • Ability to assist students, parents, College faculty and staff, and all other individuals in a professional, confidential, and respectful manner.
  • Self-starter with ability to work independently and as a team member.
  • Ability to multi-task, excellent organizational and time-management skills, accuracy and attention to details.
  • Displays a positive work attitude.
  • Required: Five years of increasingly responsible administrative assistant experience; demonstrated computer experience; and customer service experience.

Note - Some evening and/or weekend hours will be required to participate in campus events.
