Qualifications

  • Proficiency with Microsoft Office applications.

Responsibilities

  • Provide proactive executive support by anticipating needs and managing competing priorities.
  • Assist with calendar management and travel planning.
  • Support day-to-day office operations: phones, guest greeting, supplies, mail distribution.
  • Process invoices, expense reporting, and other admin duties as needed.
  • Plan and coordinate employee events and meetings.

We’re thrilled that you are interested in joining us here at the Amynta Group!This Administrative Assistant position in Schaumberg, Illinois provides administrative support to the executive and senior leaders of AAGI as well as general office support including phone coverage, mail distribution and employee engagement awards and events. This is a hybrid position working on site Tuesday/Thursday (or as needed).The ideal candidate is proactive, highly organized, detail-oriented, and service-minded, with the ability to anticipate needs, manage competing priorities, exercise sound judgment, and work independently. This position is well suited for someone who enjoys supporting senior leaders, managing office operations, and coordinating events.What You’ll DoProvide proactive executive support by anticipating needs, managing competing priorities, following up on outstanding items, and helping leaders stay organized.Assist with calendar management and travel planning, as needed.Provide day-to-day office operations support by answering phones calls, greeting guests, coordinating office supplies, distributing mail, and other general office requests, as neededSupport business processes including invoice processing, expense reporting, and other administrative duties as needed.Plan employee events including scheduling, coordinating agendas, materials, conference room/venue set-up, catering, and other logistical details, as well as tracking and follow-up items when appropriate.Handle confidential and sensitive information with discretion, exercising sound judgment when working with executive communications, business information, employee matters, and other sensitive materials.Research, prioritize, and follow-up on issues independently and determine appropriate course of action.Research and assist with various company processes, upon request.Assist with special projects and other administrative initiatives as assigned, adapting to changing priorities and business needs.What You’ll BringHigh School Diploma or equivalent work experience.
