Job summary

Community Care Network / Rutland Mental Health Services is seeking an Administrative Assistant to be the welcoming first point of contact for clients, visitors, and partners. You will handle front desk, reception, and admin support in collaboration with clinical and program staff.

The role includes greeting clients, managing appointment times, processing payments, and supporting day-to-day office operations. A strong emphasis on communication and organization is required.

Qualifications

  • High School Diploma or GED required.
  • Previous experience in a healthcare office preferred.
  • Previous experience with electronic medical records (EMR) preferred.
  • Excellent communication and listening skills; verbal and written.

Responsibilities

  • Greet and appropriately direct professionals and other visitors in a courteous, professional manner.
  • Greet all clients in a courteous, professional manner, checks appointment times and notifies staff of their arrivals.
  • Actively pursue client payment at time of service for all programs as appropriate and documentation of such, insuring the proper crediting of client accounts for payments received.
  • Provide administrative support to the clinical staff including preparing outgoing correspondence and scanning documents into the Electronic Medical Record.

Community Care Network is growing our administrative team and looking for Administrative Assistants to join us!

Community Care Network is comprised of Rutland Mental Health Services and Rutland Community Programs. Our mission is to enhance the well‑being of our communities, individuals and families through responsive, innovative and collaborative human service.

As an Administrative Assistant, you’ll play an important role in creating a welcoming experience for the people we serve.

About The Role

The Administrative Assistant serves as an important first point of contact for our clients, visitors, and community partners. This position provides front desk, reception, and administrative support while working closely with clinical and program staff.

Every day brings a variety of tasks—from welcoming clients and visitors to supporting staff, managing documentation, and helping ensure the day‑to‑day operations of the office run efficiently.

Schedule Options

We are hiring for three Administrative Assistant positions, including two full‑time positions and one part‑time position:

  • Two Full‑Time Positions: Monday–Friday, with schedules falling between 8:00 AM and 5:00 PM. These positions support our Access/DS Desk and 204 Desk.
  • One Part‑Time Position: 20 hours per week, with availability to work evening hours between 3:00 PM and 7:30 PM required.

  • Previous experience working in healthcare office preferred
  • Previous experience with electronic medical records (EMR) preferred
  • Excellent communication and listening skills; verbal and written
  • Provide problem solving skills; while maintaining a high level of customer service by demonstrating professionalism and respectfulness towards others
  • Skilled with time management; organizing day to day tasks, prioritizing deadlines, etc.
  • Demonstrated ability to defuse challenging situations
  • Must have a valid driver's license, reliable transportation with personal automobile liability insurance coverage at or above the levels mandated by the State of Vermont.
  • *Successful completion of a criminal history background check after hire.
