Job summary

KLN Family Brands, headquartered in Perham, MN, is seeking an Administrative Assistant/Receptionist to support phones, vendors, and paperwork processes. The role includes preparing invoices, supporting reporting, and acting as a backup to fellow admins.

Responsibilities

• Answer phones for breaks and lunch for receptionist; greet vendors, customers, employees.
• Handle all incoming daily paperwork for ingredients; verify paperwork matches vendor PO in system; check COA; scan into Public Folders/IFS.
• Prepare Farmers invoices weekly.
• Monthly/quarterly reporting to MN Council Research.
• Backup to other Administrative Assistants; enter finished goods/items into IFS & Batchlogix for changes.
• Backup to receptionist duties; match maintenance, lab and office invoices to POs; distribute mail.
• Enter incoming freight invoices for outgoing branded truckloads; monitor and prepare shipping documents; support trace audits.
• Prepare monthly Finished Good Aged Inventory Report.
• Assist stakeholders with reports and product tracing by shop order or ingredient lot; support various departments.

What We Are Looking For

The Opportunity

Answer phones for breaks and lunch for receptionist. Greet vendors/customers/employees. Process all incoming paperwork for ingredients daily. Backup to other Administrative Assistants. Willing to learn and become the “subject matter expert” on duties that will come up as the business grows.

Essential Duties

• Answer phones for breaks and lunch for receptionist. Greet vendors/customers/employees.
• Handle all incoming daily paperwork for ingredients. Verify paperwork matches vendor PO in system, check for COA and scan all paperwork into Public Folders and/or IFS.
• Prepare Farmers invoices, weekly. Monthly/quarterly reporting to MN Council Research.
• Backup to the other Administrative Assistants. Entering finished good items and formulas, into IFS & Batchlogix system for new and/or changes to existing items/formulas.
• Backup to other duties of Receptionist. Matching maintenance, lab and office invoices to purchase orders. Distribute incoming mail.
• Enter incoming Freight invoices for all the outgoing branded truckloads of finished product into IFS system by customer order.Monitor and prepare shipping documents for sale of regrind to various customers.
• Prepare monthly Finished Good Aged Inventory Report.
• Assist other stakeholders by preparing reports such as Finished Good Moisture and Finished Good Fulfilment reports. Assist various departments through product tracing by shop order or by ingredient lot number. Prepare trace audits when audited.
• Willing to grow with new opportunities and tasks that they would be the first contact on – Between sales, purchasing, admin, and shipping.
