Position Overview
The firm is seeking a proactive and detail-oriented Administrative Assistant to support daily office operations and provide essential assistance to partners, accountants, and the tax team. This is a key role for someone who enjoys being the organizational backbone of an office and thrives in a fast-paced yet collegial professional environment.
Key Responsibilities
- Provide administrative support to partners and professional staff
- Manage calendars, schedule meetings, and coordinate appointments
- Handle incoming calls, emails, and client correspondence professionally
- Assist with document preparation, filing, scanning, and electronic organization
- Manage client records and maintain confidentiality at all times
- Support tax season workflows, including assembling and processing client deliverables
- Order office supplies and assist with general office management needs
- Coordinate mail, shipping, and records retention processes
Qualifications
- 2+ years of administrative or office support experience (professional services environment preferred)
- Prior experience in a CPA firm, accounting firm, or professional services setting is a plus
- Strong organizational skills with keen attention to detail
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office (Word, Outlook, Excel); experience with document management systems a plus
- Ability to manage multiple priorities and meet deadlines
- Professional demeanor with a client-service mindset
