Job summary

Almstead Tree and Shrub Care Co. in New Rochelle, NY is seeking an Administrative Assistant to support our Sales Arborist and coordinating office operations.

The role emphasizes organized, detail-oriented work, client service excellence, and collaboration with executives and internal teams to prepare proposals and manage records. You will handle communications, schedule coordination for the CEO and arborists, maintain accurate customer data, process payments, and help keep the business running

Qualifications

• Minimum of 5 years of experience in Administrative Assistant, Executive Assistant, or similar administrative support role.
• Bachelor's degree in Business Administration, Communications, English, Journalism, Marketing, or a related field preferred.
• Proven experience preparing professional proposals, reports, presentations, and business correspondence.
• Demonstrated commitment to delivering exceptional customer service and building positive client relationships.
• Experience in a service-based industry is a plus.
• Advanced proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
• Excellent written and verbal communication skills, with strong attention to grammar, accuracy, and professionalism.
• Strong organizational, multitasking, and time-management skills with the ability to prioritize competing deadlines.
• Exceptional attention to detail and commitment to producing high-quality work.
• Professional demeanor, sound judgment, and outstanding interpersonal skills.
• Excellent telephone etiquette and the ability to communicate confidently with clients, executives, and team members.
• Self-motivated, resourceful, and able to work effectively in a fast-paced environment with minimal supervision.

Responsibilities

• Coordinate meetings, conference calls, and appointments for the CEO and Sales Arborists
• Provide outstanding customer service and support throughout the client journey
• Maintain sales calendars and create accurate work orders
• Manage and update customer records, databases, and filing systems
• Process customer payments and related documentation
• Coordinate schedules, appointments, and project-related activities
• Ensure timely follow-up and a consistently exceptional client experience
• Support daily office operations and administrative processes
• Communicate office updates and customer concerns during regular meetings with the CEO
• Uphold company policies, procedures, and customer-service standards

We are seeking a highly organized, detail-oriented, and customer-focused Administrative Assistant to support our top-performing Sales Arborist.
