Job summary

Norfolk Police Federation is seeking an organised administrative professional to support the Office Manager with day-to-day operations. Responsibilities include managing the membership database, handling inquiries, supporting Board Principal Officers, and maintaining the branch website.

The role requires strong communication, confidentiality, and the ability to prioritise tasks in a busy environment, with the flexibility to work independently or as part of a team.

Responsibilities

  • Assist in day-to-day business operations.
  • Manage the membership database and GDPR-compliant notifications.
  • Assist with administration of group insurance for serving/retired officers and staff.
  • Distribute information to new recruits, transferees and staff and follow up on returns.
  • Answer email & telephone enquiries.
  • Provide administrative support to Board Principal Officers and take minutes.
  • Update and maintain the Branch website as directed.
  • Housekeeping, hospitality and reception duties with Office Manager.
  • Deputise for the Office Manager when required.
  • Perform other duties as directed by Office Manager/ Branch Secretary.

Job description

Reporting to the Office Manager you will be required to deal directly with work-based representatives, external enquiries and undertake all aspects of the administration function for the smooth running of the branch.

  • Assisting in the smooth running of day-to-day business
  • Manage the membership via the database, proactively and in accordance with members notifications and subscriptions for ‘new, amend and end’, ensuring GDPR compliance.
  • Assist with the administration of the Group Insurance scheme for serving officers, retired officers and police staff.
  • Distribute information to all new recruits, transferees, and police staff. Review and follow up for returns.
  • Answering both email & telephone enquiries.
  • Providing administrative assistance to the full-time Board Principal Officers, including taking minutes at meetings as directed by the Office Manager when required and where practical.
  • Update and maintain the Branch website at the direction of the Office Manager
  • Housekeeping, hospitality, and reception duties in conjunction with the Office Manager.
  • In the Office Manager’s absence, deputising for the Office Manager when required
  • Any other relevant duties as directed by the Office Manager and/ or Branch Secretary
