Administrative Assistant

Location: Mount Prospect, IL. Benefits Offered: Medical, Life Insurance, 401k, Dental. Employment Type: Full Time. Salary: $22/Hour. Schedule: Weekdays, 8:00 a.m.–4:00 p.m. with flexibility required based on program needs.

About the Role: Search 360 is looking for a reliable and organized Administrative Assistant to help keep the office running smoothly. In this role, you will answer phones, greet visitors, maintain records and provide clerical support to the Program Manager and team. This position plays an important part in making sure daily tasks are completed, files and attendance records are accurate and the office stays organized. The ideal candidate is detail-oriented, dependable and comfortable using computers and Microsoft Office.

Minimum Requirements
  • High school diploma or GED required (Associate’s degree preferred)
  • 1–2 years of administrative experience, preferably in a nonprofit, social services, or healthcare setting
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office Suite
  • Ability to stay organized, manage multiple tasks and meet deadlines
  • Ability to maintain confidentiality, provide professional customer service
  • Ability to lift/carry per the limitations listed on the current Return to Work Agreement
  • Ability to perform basic physical moves such as kneeling, reaching, crouching, bending and twisting
Job Responsibilities
  • Support the Mission Statement and agency values of Search360

  • Demonstrate leadership abilities by working cooperatively with Search colleagues, encouraging teamwork, respecting differing viewpoints and demonstrating the ability to solve problems creatively from an agency-wide perspective
  • Present yourself in a professional manner as a representative of Search to participants, family members, guardians, community members and representatives from affiliated agencies
  • Manage assigned work load effectively by meeting established deadlines
  • Maintain compliance with personnel policies as stated in the Employee Handbook
  • Demonstrate an understanding of the Corporate Compliance policy including the employee work rules and state/federal regulations such as DHS Rules, CQL standards and other applicable state and federal laws
  • Maintain reception for assigned site by answering phones, greeting visitors, maintaining the visitor log and receiving deliveries
  • Maintain the copy machine, fax machine and postage machine in working order
  • Provide clerical support to administrative staff as requested
  • Maintain individual files (paper files, Harmony files, closed records), including the accurate filing of current information, purging and storage, as requested
  • Maintain daily attendance records in accordance with state and federal guidelines
  • Maintain proficiency with Harmony, Microsoft 365 and Microsoft Office
  • Assist with ordering and maintaining office supplies and any other purchasing, as directed
  • Assist with monthly reconciliation of attendance records
  • Daily processing of mail and medications that are received from Community Living sites and other Day Service sites
  • Manage one-to-one supervision logs in Harmony, adhering to deadlines
  • Participate in regular quality assurance file audits, as assigned
  • Other duties as assigned
