We are seeking a detail-oriented and organized Administrative Assistant to join our dynamic insurance agency. This candidate will play a vital role in supporting daily operations, ensuring smooth office workflow, and providing exceptional customer service to our clients. This is an excellent opportunity for someone looking to grow within the insurance industry.

Key Responsibilities:

  • Greet clients in person and over the phone in a professional and friendly manner
  • Manage incoming and outgoing correspondence (emails, phone calls, mail)
  • Schedule client appointments and maintain office calendar
  • Assist with processing insurance applications, policy changes, and claims documentation
  • Maintain accurate client records and update agency management systems
  • Prepare reports, forms, and other documentation as needed
  • Handle data entry and administrative tasks with accuracy and efficiency
  • Support agency staff with daily tasks
  • Ensure compliance with company policies and industry regulations
  • Maintain office supplies and coordinate with vendors as necessary

Qualifications:

  • High school diploma or equivalent (Associate’s degree preferred)
  • Previous administrative or office experience, preferably in an insurance or financial services setting
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to multitask and adapt in a fast-paced environment

Work Schedule:

  • In-person, 5 days a week onsite
  • Standard business hours (8:30a-4:30p) with occasional overtime during peak periods
