Job summary

Spero Academy in Minneapolis, MN is seeking an Administrative Assistant to serve as the welcoming front office presence for students, families and staff. The role supports clerical tasks, communication, and daily operations to ensure a positive school environment.

Qualifications

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Two plus years of administrative or office experience required; experience in an educational setting preferred.
  • Proficiency with Microsoft Office Suite, Google Workspace, student information systems (SIS), and standard office equipment.
  • Strong written and verbal communication skills.
  • Ability to multitask, prioritize, and maintain accuracy in a fast-paced environment.
  • Professional demeanor, discretion, and strong interpersonal skills when working with students, staff, and families.
  • Commitment to creating a positive and inclusive school environment.
  • Able to maintain a statement of “not disqualified” in a background check.

Responsibilities

  • Greet and assist students, families, and visitors; maintain a welcoming and safe front office environment.
  • Answer and direct phone calls, emails, and inquiries in a professional and timely manner.
  • Support attendance procedures, including receiving absence notifications, contacting families, maintaining accurate records, and generating reports.
  • Prepare, distribute, and file documents such as newsletters, memos, forms, and reports.
  • Maintain student and staff records in compliance with confidentiality and data privacy requirements.
  • Coordinate school calendars, meetings, and events; support logistics such as room reservations, materials, and communication.
  • Manage office supplies and equipment; place orders and track inventory.
  • Maintain and organize staff work rooms.
  • Assist the administration and teachers with clerical tasks (copying, scheduling, communication, etc.).
  • Support enrollment and registration processes as directed.
  • Support student transportation schedules and arrival/dismissal procedures.
  • Support billing and invoicing.
  • Support Food & Nutrition as needed.
  • Other duties as assigned - Project based.
  • Position may require flexibility for occasional evening school events.
  • Uphold district and school policies while ensuring a supportive and student-centered environment.

We are a nonprofit charter school that is devoted to educational programs for students with disabilities that foster a sense of respect, responsibility and community. The Administrative Assistant serves as the first point of contact for students, families, staff, and visitors, providing a welcoming and professional presence in the school office. This role supports the leadership and school staff with clerical, communication, and organizational tasks to ensure smooth daily operations and a positive school environment.
