Qualifications

  • High school diploma or equivalent required.
  • Associates Degree in Business Administration preferred; or 2-3 years administrative experience in manufacturing.
  • Ability to manage multiple projects with minimal supervision.
  • Excellent interpersonal and communications skills.
  • Strong attention to detail, math, and organizational skills.
  • Proficiency with Microsoft Office, Excel and PowerPoint.

Job description

POSITION SUMMARY:

The Administrative Assistant provides administrative and operational support to ensure the efficient day-to-day operation of the office. This role serves as the first point of contact for visitors and employees while supporting office administration, purchasing, onboarding, and basic HR-related functions.

KEY RESPONSIBILITIES:
  • Serve as the primary point of contact at the front desk by greeting visitors, answering and directing phone calls, and routing inquiries to the appropriate departments.
  • Maintain a professional and organized reception area.
  • Order and maintain office supplies, equipment, and other administrative materials to support daily operations.
  • Maintain facility records and filing systems, ensuring documentation is accurate, organized, and up to date.
  • Coordinate and schedule meetings, conference rooms, and appointments as needed.
  • Manage incoming and outgoing correspondence, including mail, packages, and email communications.
  • Assist with new hire onboarding by preparing paperwork, coordinating orientation activities, and ensuring required employment documentation is completed.
  • Respond to routine employee questions regarding company policies, benefits, and administrative procedures, directing more complex inquiries to Human Resources.
  • Create and process purchase orders in accordance with company procedures.
  • Process invoices, reconcile vendor billing, and coordinate with Accounting to ensure timely payment.
  • Maintain confidentiality of employee and company information.
  • Support special projects and perform other administrative duties as assigned.
QUALIFICATIONS AND EXPERIENCE:
  • Minimum educational requirement is high school diploma, or equivalent
  • Associates Degree with a Business Administration focus preferred; or 2-3 years administrative experience in a manufacturing setting; or an equivalent combination of education and experience
  • Able to complete multiple projects on time and with minimal supervision, which often serve several people and contain conflicting deadlines
  • Excellent interpersonal and communications skills
  • Good understanding of basic math required for quick and accurate counting and calculations
  • Proficiency with Microsoft Office, Excel and PowerPoint.
  • High attention to detail, accuracy, time management, and organization
  • Must have excellent communication and interpersonal skills with the ability to interact with many types of personalities
  • Must have sound judgment and discretional skills and be able to work with little supervision
  • Must be able to consistently work under pressure and simultaneously prioritize multiple projects
