Job summary

RTI/Community Management Associates, Inc. seeks an Administrative Assistant to support day‑to‑day Community Association operations.

You will report to the On‑site Association Manager and help maintain smooth administrative workflows, coordinate meetings, handle homeowner communications, and assist with financial and operational processes. Qualifications

  • High school diploma or GED required; additional education is a plus.
  • 2+ years in administrative or office support roles preferred.
  • Proficient with office software and recordkeeping systems.
  • Strong organizational, communication and customer service skills.
  • Ability to manage multiple tasks and follow procedures.
  • Valid driver’s license is required.

Responsibilities

  • Provide administrative and operational support to the Association Manager.
  • Maintain accurate records, databases, and documentation for the Association.
  • Serve as the primary contact for homeowners and handle inquiries.
  • Coordinate Board and committee meetings, agendas, packets, logistics, and minutes.
  • Assist with financial tasks including invoice processing and report preparation.
  • Process ACC modification requests.
  • Support office operations including reception, supplies, and correspondence.

Job description

We are seeking a detail-oriented Administrative Assistant to support the day-to-day operations of a Community Association. Reporting to the On-site Association Manager, this role is key to maintaining smooth administrative workflows, coordinating meetings, handling homeowner communications, and supporting financial and operational processes.

Key Responsibilities:
  • Provide administrative and operational support to the Association Manager.
  • Maintain accurate records, databases, and documentation for the Association.
  • Serve as the primary contact for homeowners, addressing inquiries and providing excellent customer service.
  • Coordinate Board and committee meetings, including agendas, packets, logistics, and minute taking.
  • Assist with financial tasks, including invoice processing and report preparation.
  • Process Architectural Control Committee (ACC) modification requests.
  • Support general office operations, including reception, supply management, and correspondence.
Qualifications:
  • High school diploma or GED (additional education a plus).
  • 2+ years of administrative or office support experience preferred.
  • Proficiency in office software and recordkeeping.
  • Strong organizational, communication, and customer service skills.
  • Ability to manage multiple tasks independently and follow established procedures.
  • Valid driver's license.
Skills & Competencies:
  • Planning & organization, sound judgment, dependability, and professional communication.
  • Comfort using databases and software systems, including Word, Excel, email, and CINC or similar platforms.
