Job summary

Consolidated Pipe & Supply is seeking an administrative assistant to support the sales teams by expediting materials and completing weekly reports.

The role requires a general understanding of accounting principles, strong MS Office skills, and the ability to thrive in a fast-paced environment while maintaining accuracy and strong organization.

Qualifications

• General understanding of accounting or finance principles.
• Good working knowledge of MS Office applications (e.g. Excel, Word, Outlook).
• Have the confidence to escalate and ask questions.
• Ability to perform at high levels in a fast-paced, ever-changing work environment and adapt to changing priorities and work demands.
• Strong organizational skills.

Responsibilities

• Monitor and print invoices from email, distribute as necessary to other sites, and process invoices for company check run schedule.
• Identify incorrect charges, verify, and create appropriate adjustments within the system.
• Respond to vendor payment status inquiries.
• Help with invoicing customers.
• Assist Sales Staff with customer inquiries concerning documentation.
• Match shipping paperwork for customer’s invoices, sent by corporate.
• Assist with inventory reconciliations in Excel for outside yards.
• Maintain and replenish site office supplies.
• Scanning MTRs into the system.
• Will be backup for the Accounting Specialist.

Summary:

Our company is looking for an administrative assistant to support the sales teams by expediting materials and completing weekly reports.

Job Functions (Duties, Responsibilities, and Requirements):

The primary duties consist of (but not limited to) the following:

• Monitor and print invoicesfrom email, distribute as necessary to other sites, and process invoices for company check run schedule.
• Identify incorrect charges, verify, and create appropriate adjustments within the system.
