• Identify incorrect charges and adjust in the system.
• Respond to vendor payment status inquiries.
• Perform administrative tasks and office duties.
• Maintain office consumables inventory and purchase as needed.
• Match shipping paperwork with customer invoices.
• Assist with inventory reconciliations in Excel.
• Prepare month-end variance reports.
• Match receivers with purchase orders and set up for payment; consider early pay discounts.

Consolidated Pipe & Supply is a full-line supplier, fabricator, and manufacturer of pipe, valve, and fitting products and services for the natural gas, waterworks, energy, and industrial sectors.

Summary:

Our company is looking for an office assistant to handle clerical tasks in our office. You will handle incoming phone calls and other communications, greet clients and visitors, manage files, update paperwork and other documents, and perform other general office duties. The ideal candidate should be able to write clearly and be proficient with word processing applications. Strong communication and organizational skills are also highly valued.

Job Functions (Duties, Responsibilities, and Requirements):

The primary duties consist of (but not limited to) the following:

• Accounts Payable
• Monitor and print invoice incoming inbox, create batches twice per week for weekly check-runs and email corporate once completed
• Identify incorrect charges, verify, and create appropriate adjustments within the system
• Respond to vendor payment status inquiries
• RVI System
• Administrative Tasks
• Maintain office consumables inventory and purchase once a month as needed
• Match shipping paperwork for customer’s invoices sent by corporate
• Assist with inventory reconciliations in Excel for outside yards
• Month-end variance report
• Match receivers with purchase orders and set up for payment, being mindful of early pay discounts
