Job summary

Set Free Alaska in Homer, Alaska seeks a friendly receptionist to greet clients, direct them appropriately, schedule appointments, and support clinicians. You will handle phone calls, reminders, intake paperwork, and keep accurate records in the patient management system.

The role requires one year of office experience, reliable attendance, basic computer skills, and the ability to pass a drug screen and background check; a flexible schedule is helpful in covering shifts.

Responsibilities

  • Greet clients and direct them appropriately
  • Notify staff of visitor arrivals and maintain security
  • Answer telephones and route messages professionally
  • Schedule appointments on staff calendars
  • Perform reminder calls the day before appointments
  • Collect monies from clients
  • Send letters, faxes, and communicate with providers
  • Prepare intake/admission packets and manage waitlist
  • Inform clinicians when clients check in
  • Assist with intake and admission paperwork
  • Ensure files comply with policies
  • Enter data into AKAIMS/Carelogic

Job description

Job responsibilities

Serve clients by greeting, welcoming, and directing them appropriately. Notifies company personnel of visitor arrival. Maintains security and telecommunications system. Informs clients by answering or referring inquiries.

  • Answer telephones, take messages, direct calls and messages to appropriate staff with professionalism and courtesy
  • Responsible for scheduling appointments with clients on staff calendars
  • Perform reminder calls for all assessments the day before the scheduled appointment
  • Collecting monies from current and inactive clients
  • Send letters, faxes, and make phone calls as asked to clients and referring providers
  • Create, update and make copies of all intake and admission packets, and keep a wait list for those accepted into the program pending an available bed
  • Inform directing clinician when a client checks in for session
  • Assist clients in completing intake and admission paperwork
  • Complete file audits to insure they are compliant according to the agency’s policies and procedures
  • Enter data into AKAIMS/Carelogic

Qualifications
Required
  • One (1) year prior office experience
  • Ability to work a flexible schedule, filling in when other receptionist are out sick or on vacation
  • Ability to pass a drug screening and State of Alaska background check
Preferred
  • One (1) year experience Medical office reception or billing position
Skills required
  • Excellent written and verbal communication
  • Strong customer service and organizational skills
  • Punctuality reporting to work
  • The ability to:
    • Work as a team member, including accepting and providing supervision
    • Build rapport with clients and staff
    • Collect money and document payments
