Job summary

Haverford College invites applications for a full-time Administrative Assistant, 35 hours per week, benefits-eligible, hybrid work arrangement. The role focuses on financial and long-term budget administration for the Hurford Center for the Arts and Humanities and its Cantor Fitzgerald Gallery.

The Administrative Assistant provides logistical support across programs, handles reimbursements and stipends, coordinates travel for events, and serves as a primary liaison with the business office,

Qualifications

  • 3 years of administrative assistant experience.
  • Bachelor's degree or equivalent.
  • Proficiency with Microsoft Office and Google applications.

Responsibilities

  • Assist budgetary administration, track spending, and run monthly budget reports for Hurford Center and CFG.
  • Support HCAH budgets by processing reimbursements, stipends, and honoraria; liaise with business office, payroll, HR.
  • Disperse funds with grantees and coordinate related grant funding details.
  • Provide administrative support to faculty and staff, including postdoctoral fellows.
  • Coordinate office activities, organize files, order supplies, answer phones and emails.
  • Assist with travel logistics for events and visitors to the Hurford Center.
  • Support Mellon Post-Doctoral Fellows searches, postings and travel.
  • Provide event support and update the College web calendar; attend Center events.

  • Salary : Hourly rate :$22.54

The John B. Hurford '60 Center for the Arts and Humanities (HCAH)provides a place for inclusive and interdisciplinary programming bypromoting collaborative engagement with the intellectual andartistic ambitions of Haverford College and broadercommunities.

About the Position

The Administrative Assistant (AA) provides a wide range oflogistical and administrative support to the Hurford Center for theArts and Humanities, including the Center's Cantor FitzgeraldGallery (CFG), with a focus on the financial and longer-termbudgetary administration of the Center.

The AA handles the logistics for the Mellon Post-Doctoral Program,which includes an annual search and support of the Center's twocurrent fellows; processes Center awards dispersal andreimbursement; and helps to coordinate student office workers. TheAA reports to the Assistant Director of the HCAH, and works closelywith the rest of HCAH staff, providing support for the KoshlandDirector-HCAH, the Associate Director-HCAH, the AssociateDirector-CFG, the Post-Baccalaureate Fellow-HCAH, and allpost-doctoral fellows teaching with the Hurford Center. The AAserves as a primary point of administrative contact and liaisonacross the college (faculty, students, and staff) and providessupport across programs sponsored by the Hurford Center and theCantor Fitzgerald Gallery.

Primary Responsibilities
  • Assist the Koshland Director, Associate Director, and AssistantDirector with budgetary administration, including trackingspending, planning annual budget, running monthly budget reports onHurford Center and Gallery accounts
  • Provide support to the HCAH and its various constituentsregarding the dispersal of HCAH funds by processing reimbursements,stipends, and honoraria; liaise regularly with the business office,payroll, and HR
  • Communicate with HCAH grantees regarding fund dispersal andcoordinate other grant funding related details
  • Provide administrative support to faculty, all HCAH staff, andpre/postdoctoral fellows
  • Coordinate office administrative activities, provide documentsupport, order supplies, answer phones and email, and help toorganize student workers, files, and office materials; liaise withstaff, faculty, and students across the college
  • Assist HCAH Assistant Director with administrative, budgetary,and travel logistics for events and visitors to the HurfordCenter
  • Assist with special projects, as assigned
  • In coordination with the Koshland Director and AssistantDirector, manage searches for Mellon Post-Doctoral Fellows,including job posting, travel logistics and, scheduling
  • Provide occasional event support, including updating theCollege web calendar, ordering and/or picking up refreshments,requesting Audio-Visual support, and coordinating venue setup incoordination with rest of HCAH staff
  • As part of the Hurford Center team, regularly attend Centerevents

The Administrative Assistant reports to theAssistant Director of HCAH.

Minimum Qualifications
  • 3 years of administrative assistant experience
