Job summary

CRF is seeking an Administrative Assistant to support the Office Manager and Program Director in a fast-paced behavioral health environment in El Cajon, CA. The role runs 40 hours weekly with a Monday–Friday schedule and is a 2–3 month assignment.

The position requires a high school diploma and at least one year of customer service experience. Duties include clerical tasks, data entry, filing, and coordinating meetings while maintaining confidentiality.

Qualifications

  • High school diploma or GED required.
  • At least 1 year of customer service in a fast-paced environment.
  • Excellent phone etiquette and ability to maintain confidentiality.
  • Proficiency with MS Office (Outlook, Word, Excel).
  • Ability to multi-task and protect confidential information.
  • Must pass criminal/background clearance.

Responsibilities

  • Perform full-service clerical and reception duties including greeting visitors, answering phones, screening calls, taking messages, typing, filing, scheduling meetings, opening and distributing mail, and data entry.
  • Assist with front office management and operations as directed.
  • Assist with preparation of medical records and audit records for billing requirements.
  • Provide reporting and tracking information for program management.
  • Collaborate with all program team members to support operations.
  • Maintain accounts payable/receivable duties and provide reception support.

40 hours per week. Work schedule is 8:30 am - 5:00 pm on Monday, Tuesday, Thursday and Friday; 10:30 am to 7:00 pm on Wednesday

As an Administrative Assistant, you will:

Support the Office Manager and/or Program Director to ensure the office operates efficiently and effectively. Performs a variety of clerical tasks in a fast-paced environment.

Duties include:

  • Full-service clerical and reception duties including greeting visitors, answering phones and screening calls, taking messages, typing, filing, scheduling meetings, opening and distributing mail and performing data entry
  • Assists with front office management and operations as directed
  • May assist with preparation of medical records
  • May audit medical records for adherence to billing requirements
  • Reporting and tracking information for program management
  • Works collaboratively with all other members of the program team
  • 19 days of PTO and 12 paid holidays per year

Our Adult Outpatient Programs (Areta Crowell Wellness Recovery Center, Douglas Young Wellness Recovery Center, Heartland Wellness Recovery Center, Jane Westin Center, Maria Sardinas Wellness Recovery Center,andSouth Bay Guidance Center) provide behavioral health services including psychiatric and clinical assessment, treatment planning, ongoing medication services, individual and group counseling, case management, crisis intervention, mobile outreach, vocational support, and peer support. We deliver fully integrated services to adult clients diagnosed with a serious mental illness, as well as individuals with co-occurring, mental health, and substance use disorders.

All of our outpatient programs also provide full-time walk-in services. Our programs utilize evidence-based practices to assist our clients in reaching their goals and to live the highest quality of life while managing their mental illness.

Education

Additional Qualifications and Skills
  • One year experience in customer service in a fast-paced environment
  • Excellent phone etiquette, attention to detail, ability to multi-task and maintain confidentiality required
  • Intermediate knowledge of Microsoft Office to include Outlook, Word, Excel applications, as well as internet research skills required
  • Previous experience in a similar mental health program serving the population is desirable
  • Must be able to pass criminal/background clearance
Summary

This position performs a variety of administrative and accounting tasks including data entry, reporting andtracking information for program management as well as maintaining accounts payable and receivableduties, and provides reception support.
