The Archdiocese of Denver is seeking a reliable, organized, and mission-driven Administrative Assistant to support a dual role: (1) assisting the HTC (Holy Trinity Center) Director of Hospitality with the daily operations of the HTC; and (2) providing organized, professional, and mission-focused administrative support to Archdiocesan Committees, the Chief Human Resources Officer (CHRO), and the Chief Financial Officer (CFO).

Key Job Responsibilities
1) Holy Trinity Center Hospitality & Facility Support
- Support the daily operation and hospitality of the HTC by assisting with meetings, ministry gatherings, events, guest accommodations, room setup, catering, supplies, facility readiness, and coordination of maintenance needs.
2) Committee Support
Packet Preparation
- Setting up folders
- Reminders to contributors
- Teeing up documents for revision (Memo, Agenda, Minutes, Summary, Dividers)
- Workflow communication through approval process
- Final document formatting
- Email to committee members
- Compiling summary drafts for AFC
Reporting
- Quarterly IRFT report to depositors
- Yearly audit - minutes
- Yearly archiving of minutes to Karyl
- Annual letter to Bp. Berg
- Monthly IC Scorecard reporting (4 groups)
- Yearly COI report
- Annual Report Listing
Membership
- Maintaining contact info on members
- Preparing Onboarding/offboarding letters and decrees
- Sending reminders on term endings
- Maintaining information on board/committee membership requirements
- Coordinating onboarding meetings; providing background materials
- Invitation for Christmas party assistance
- Collecting Conflict of Interest forms
- Answer questions and provide help as needed
Calendaring
- Work with principals on annual meeting schedule (AB, VG, COO, CFO, Chairs, Key Staff)
- Send invitations
- Updating invitations with Teams info and member changes
- Work with Events and HTC on scheduling and meals
- Coordinate HTC or alternate conference rooms
- Schedule tech help as needed
Meetings
- Request printed copies or other needs from Events team
- Attend meetings via Zoom
- Note follow-ups and deliverables
- Assist members with materials access, Zoom issues
- Attendance
- Prepare minutes
Record Keeping
- Manage Teams recordings (sending, scheduling & deleting)
- Maintain and update procedure descriptions
- After meetings, make any required changes to meeting minutes
- Archive copies of final documents
- Maintain files for each committee's activities (Teams and SharePoint)
Administrative Assistant for the CFO and CHRO
- Executive & Calendar Support: Provide day-to-day administrative support to the CFO and CHRO, including calendar and meeting coordination, correspondence and document preparation, expense reports and approvals, and tracking action items and deadlines.
Requirements
What We’re Looking For
- Be a fully initiated Catholic in communion of the Catholic Church and intentionally loving out the five precepts of the Church (CCC 2041 – 2043).
- Align with the values and mission of the Catholic Church in an Apostolic Age.
- Strong commitment to Catholicism and the New Evangelization, with the ability to collaborate, coordinate team efforts, and serve others in support of the Church’s mission.
- High school diploma or equivalent required; associate’s degree or higher preferred.
- 2–4 years of administrative, hospitality, event, or office support experience preferred.
- Experience with financial processing (invoices, expense reports, budget support) preferred.
- Excellent attention to detail, follow-through, and ability to manage competing priorities.
- Strong written and verbal communication skills, with experience preparing documents, agendas, or meeting materials.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to work independently, respond promptly to changing needs, and exercise sound judgment.
- Experience supporting multiple leaders simultaneously is helpful.
