Position Summary:

Thisposition reports to the Executive Assistant of the CEO and providesadministrative support to the Executive Department. Responsibilities include assisting with thecoordination of all aspects of the Vendor Management Program. Responsibilities include classifying, recording,and obtaining information. Performing any combination of routine clerical dutiesin the organization. This position is responsible for duties too varied anddiverse to be classified in any specific office clerical occupation.Assignments may include a combination of answering telephones, bookkeeping,typing or word processing, office machine operation, and filing. Frequent useof personal vehicle is required.

Essential Functions:
  • Assist with the day-to-dayoperations of the Vendor Management Program. This includes setting up a vendorprofile in the Venminder system, assisting the product managers andoversight task owners in document collection, oversight task and reviewcompletion.
  • Assist in ordering necessaryanalysis reports for oversight task completion.
  • Maintain the vendor review scheduleand document the progression of the review.
  • Prepare various Board and Managementreports.
  • Must maintain extremeconfidentiality in all work-related matters.
  • Perform general office duties suchas filing, scanning and handling routine correspondence for ExecutiveAssistant.
  • Perform secondary reviews to verifythe accuracy of stock transactions, shareholder information and annualmeeting voting.
  • Provide administrative support forshareholder meetings and routine shareholder correspondence, such asmailing stock certificates, dividend checks and annual meeting notices.
  • Assist in the annual shareholdermeeting with the planning and execution of the event with multipledepartments.
  • Responsible for setting up/puttingaway computers for meetings.
  • Coordinate bank meetings that includebank provided lunches associated with the meetings. Includes ordering anddelivery to appropriate locations.Scheduling and coordinating off sight meeting locations.
  • Perform quarterly follow up ondividend checks or more often as needed.
  • Maintain and gather various reportson a daily, weekly, monthly, quarterly and annual basis as directed.
  • Operate office equipment such as faxmachines, copiers, and phone systems, and use computers for spreadsheet,word processing, database management, and other applications.
  • Make copies of correspondence andother printed material.
  • Answer telephones and giveinformation to callers, take messages, or transfer calls to appropriateindividuals.
  • General knowledge of Word andExcel.
  • All other duties assigned.

Working Conditions:

The work for this position isconducted in an Executive office of our bank and there is a requirement fortravel locally.

Experience and Education:

Bachelor Degree Preferred with over2 years of administrative experience. Proficiency in Microsoft Office Suite andother job related specialized computer software is preferred.
