Essential Functions
  • Provides reception back up coverage as needed. Answers telephone inquiries and responds to calls if knowledgeable on subject matter; Directs call to appropriate department representative if necessary.
  • Responsible for issuance/collection of office equipment such as access cards, keys, seating assignments, etc.
  • Drafts correspondence and assists in preparing agendas and reports for department meetings.
  • Researches data and composes memoranda at the request of immediate supervisor.
  • Organizes and maintains department filing system for easy onsite storage and retrieval.
  • Serves as point of contact with property management.
  • Maintains department filing codes for archiving in offsite storage.
  • Handles incoming and outgoing department mail, travel arrangements, conference registrations, office equipment and supplies, etc.
  • Coordinates and participates in department meetings; Capture meeting minutes.
  • Processes work orders or documents in accordance with department procedures.
  • May maintain Crisis Management Plan manual for the office.
  • May review department occupational licenses for renewal annually.
  • Assists department in preparing and coordinating proposals, manuals, presentations, etc.
  • Maintains confidentiality with sensitive or proprietary information on behalf of managers/executives.

Performs other related duties as assigned.

Education, Experience and Knowledge
  • High school diploma required (Associate’s degree a plus) and 2-4 years experience in a general/clerical office setting; commercial construction industry experience preferred.
  • Minimum of 2 years experience with contract administration
  • Uses time effectively based on key priorities; accepts direction from more than one person at a time and oversees multiple projects.
  • >Communicates well and creates effective customer-focused relationships with all organization levels.
  • Able to write clearly and concisely in a variety of communication settings and styles.
  • Makes decisions under tight deadlines with composure, occasionally with incomplete information.
  • Acts in a manner of integrity that shows support for the company, its values, and the employees, while maintaining constant focus on meeting/exceeding customer requirements and expectations.
  • Strong computer skills in word processing, spreadsheet, scanning, database and presentation software. Demonstrates proficiency using a personal computer (PC) and company communication tools, such as email, internet, and Microsoft products (e.g., Word, Excel, Office, Outlook).
